Job Description


The International Workplace team supports over 70 locations across the APAC, EMEA and LATAM regions. The Regional Facilities Manager is responsible for the day-to-day operations of sites to be specified, predominately within the EMEA region.

Key Responsibilities

  • Day to day operational management of soft services including reception, cleaning, catering and mailroom in line with agreed specifications.
  • Day to day operational management of hard services including electrical, HVAC and BMS in line with agreed specifications.
  • Ensure that all safety records, statutory maintenance, inspections, reports and documentation are completed, retained and up to date at all facilities.
  • Conduct regular site inspections of facilities to ensure they are being pro-actively managed and maintained to agreed standards whilst ensuring the provision of a safe working environment.
  • Coordinate internal resources and third parties/vendors in execution of facilities related projects.
  • Identify opportunities to improve operating efficiencies, decreasing operating costs and achieving favorable performance against industry benchmarks.
  • Recognise, support and implement company policies and goals, objectives and procedures at a local level.
  • Collect and review utilities consumption to aid energy management.
  • Ensure supply chain is well-managed, delivering services in line with agreed specifications and budgets.
  • Complete Key Performance indicator scorecards, detailing performance against key facility operating metrics.
  • Monitor vendor performance against contracts and service level agreements.
  • Ensure appropriate policies, procedures and systems are adhered to, to deliver high quality services in line with the Workplace strategy.
  • Successfully build and manage relationships with clients and stakeholders.
  • Collaborate with local groups on operations solutions, processes, and reporting requirements, enhancing strong lines of communication with key stakeholders on site.
  • Support construction projects at local level if required.
  • Support teams implementing moves, adds and changes across facilities in collaboration with the Workplace Planning team.
  • Support annual operating expense budgets and track/monitor facility operations actual costs against budget.
  • Undertake financial tasks including the raising of purchase orders and validation of invoices.
  • Undertake such other related duties as directed as required.

Qualifications
  • Minimum of 3 years direct Facilities Management experience
  • Minimum of 1 years’ experience managing service providers across an international portfolio
  • Membership of the Institute of Workplace and Facilities Management, or recognised equivalent
  • IOSH or recognised equivalent Health & Safety qualification
  • Experience managing facilities operations in a corporate environment
  • Willingness to travel internationally as required
