Job description
We are looking for an enthusiastic team member to join our Facilities team as a Facilities Coordinator based at our Support Centre in Worksop, covering a period of maternity on a 9 month FTC.
As our Facilities Coordinator you’ll be part of the team who keep our property estate in tip top shape; coordinating property projects and repairs, ensuring they are scheduled and completed efficiently to meet budgetary and programme milestones. You'll be quick and efficient so actions are taken in a timely manner to keep our stores operational.
Taking huge pride in what you do, your role will involve:
- Establishing and maintaining relationships with external stakeholders to ensure all store issues are resolved according to agreed Service Level Agreements and Key Performance Indicators, without impacting store operations.
- Providing support and assistance to the Contracts Manager and the Group Facilities Manager. Knowing how to escalate business-critical issues and helping coordinate these projects until they are completed by understanding the escalation process.
- Observing permit to work and daily open call reports for contractors. Maintaining the compliance portal by ensuring maintenance reports are uploaded on time.
- Managing call groups on the internal call logging system. Working on new reactive call groups, quotes, and contracts manager inspections. Assuring that quotes are chased frequently and that all calls are updated regularly.
- Making decisions about which works are urgent and which are planned.
- Developing and maintaining effective relationships with internal stakeholders within the Health and Safety, Procurement, Finance and Estates departments.
- Processing invoices, identifying and challenging abnormalities, requesting credits as needed. Tracking contractors' invoices to ensure they are submitted on time.
For this role we need someone who has a basic understanding of health and safety regulations, including the CDM Regulations, and permit-to-work legislation. A natural problem solver, you'll prioritise tasks and make decisions to keep tasks on track. You'll build great channels of communication with external parties as well as working across departments internally. Working experience of SAP would be a benefit to this role.
