Job Description

We are looking for an experienced and motivated Facilities Coordinator to join our team! As the initial point of contact for our Facilities department, you will be responsible for ensuring that facilities services are delivered in an effective and efficient manner, and that all employees have a safe and secure working environment.

As our Facilities Coordinator, you will report to the Regional Workplace Manager and play a key role in supporting our facilities operations. You'll have the opportunity to work closely with our team to ensure that all employees have access to the services they need to work efficiently and effectively.

In this exciting role, you will need to demonstrate a high level of security awareness at all times, as well as an in-depth knowledge of emergency evacuation procedures and Health & Safety. Your ability to remain calm under pressure and think on your feet will be essential in responding to any emergency situations that may arise.

Working 8am-5pm with a 1-hour lunch break, you'll be a vital member of our team, playing a crucial role in ensuring that our facilities services are delivered to the highest standards. With your exceptional communication skills, you'll be able to build strong relationships with colleagues across the organization, ensuring that our facilities services are tailored to their needs.

Key Responsibilities

  • Ensure the delivery of Facilities Management services to a high standard. Identifying opportunities that will continuously improve all aspects of FM operations
  • To be responsible for all external contractors in the building on a daily basis, Cleaning, Maintenance and Pest Control ensuring all SLA’s and KPI’s are maintained
  • Carry out building & meeting room checks on a daily basis, ensuring any issues are dealt with in a prompt and efficient manner
  • Act as point of contact for company departments and contractors ensuring lines of communication are maintained and regularly monitored – such as email, mail, Phone calls
  • Ensure attending contractors onsite have authority to work and have provided the correct health and safety documentation to commence work. Record contractor activities onsite
  • Support the team where needed which are Engineers, Day & Evening cleaners and Concierge
  • Manage contractors, contracts and suppliers as directed to ensure service delivery

Professional and personal competencies/qualifications

  • IOSH or other Health and Safety qualification desirable
  • Experience working within a Facilities environment
  • Good IT skills including Microsoft Office (especially Excel & Power Point)
  • Good understanding of M&E
  • Strong track record of managing external relationships
  • Demonstrable understanding of purchasing & procurement processes
