Job description
The role is to assist the caretaker, along with the Premises Maintenance Helpdesk and being a key support to the Group Facilities Manager at Countrywide House.
The role requires a flexible individual to ensure all aspects of the role are completed efficiently to a consistently high standard. The successful candidate will be a focal point for the general functioning of the building and the helpdesk. The scope of this role will include multiple and varied tasks and as such, the successful applicant will be flexible, friendly and efficient in the execution of his or her duties and try to resolve or escalate situations as needed.
The main duties:
- As a key holder, unlock the building and disable intruder alarm. Covering the existing caretaker. When this is required start time will be 7am – 3:30 pm. All other times will be 9am – 17:30pm
- Switch on lights, building walk around, Fire alarm testing, EML testing, Check printers, assign parking permits and visitors parking. General building management.
- Monitor and control building temperature and adjust heating and/or air conditioning units as appropriate.
- Taking telephone calls detailing emergency and reactive building works and opening a job on a Property Management software programme.
- Issuing instructions to contractors, monitoring progress of works, ensuring works are completed in a timely and efficient manner and closing job when works are complete.
- Provide administrational support to a Building Contracts Manager.
- Checking invoices and processing for payment.
- Addressing invoice queries with contractors and suppliers.
- Recording and updating all job details on Property Management Database, day to day filing and up keep of files
Skills & Experience Required by a Facilities Assistant:
- Ideally you will have excellent written and verbal communication skills
- Ability to liaise confidently at all levels
- Team player – you will have the ability to fit in with a small team and help colleagues as work load dictates
- Knowledge of excel advantageous
- Practical with DIY skills
- Understanding safe working practices and health and safety legislation
