Due to internal progression, we are looking for a full-time Facilities Administrative Assistant to join our fast-paced Facilities team. You will deliver administrative and general office support to the various functions within the Facilities Management department. You will consistently provide exceptional customer service and business support with a professional approach for the efficient running of the department.
Responsibilities:
- General administration support including answering emails, slack and telephone calls in a professional, confident and timely manner
- Administrative support for various arms of the Facilities Management remit including Utilities & Waste, Health & Safety, Procurement and Facilities Management Services
- Support Facilities Management with research and potential project work
- Support Facilities Management systems including company access (Net2), updating staff ID cards (EasyBadge), updating our H&S training database (Awaken Learning), ordering and maintaining stock levels (Concur)and raising/receipting necessary purchase orders
- Accurate data input and manipulation for detailed analysis to support decision making
- Investigate data trends to identify causes, possible outcomes and solutions
- Attend meetings and produce subsequent minutes / action plan
- Maintain highest levels of confidentiality and discretion
- Respond to or re-direct queries to the relevant Facilities department
Skills:
- Excellent verbal and written communication skills
- Strong customer service skills to support both internal and external customers
- Excellent organisational and planning skills
- A high level of computer literacy
- Excellent MS Office skill (Excel, Word, PowerPoint, Outlook)
- Attention to detail, accuracy and ability to multi-task
- Discretion and confidentiality at all times
- Solid knowledge of Health & Safety requirements
- Previous experience in a similar role a distinct advantage
- An understanding of the various functions within the FM scope would be an advantage
This role is based at our Head Office in Tunbridge Wells.
