EXECUTIVE PERSONAL ASSISTANT – FULL-TIME, WASHINGTON

We currently have an exciting opportunity for an Executive Personal Assistant. Reporting to the Executive Team, this newly created position will provide executive support to Director level roles across the business. The ideal candidate will be able to work at pace, both autonomously and as part of a team, will pay meticulous attention to detail and will have fantastic interpersonal skills. The role has a broad remit, therefore will require excellent prioritisation skills, ability to manage multiple tasks concurrently and require an individual who is extremely proactive and communicative.
What you'll be doing:
Key responsibilities
- Support members of the Executive team directly as required.
- Extensive diary management – organising meetings (internal/external) and meeting room/ venues.
- To work closely with the Executive Assistant assisting as necessary with Chief Executive Officer support.
- Arranging complex multi-stop international travel across different time zones.
- General administrative tasks, driving and facilitating process efficiency.
- Expense and credit card reconciliation.
- Assisting with external meeting logistics and events as required.
- Meeting Documentation: preparation of meeting agenda and taking meeting notes and actions where required.
- Building strong company-wide relationships to aid with extensive internal & external stakeholder management.
- Reserve cover for Chief Executive Officer in absence of Executive Assistant as required.
- Problem solving and dealing with the unexpected.
What you'll be able to demonstrate:
Skills and experience
- Several years' experience supporting senior Executives (permanent role/s not temporary assignments)
- Outstanding organisational and communication skills with the ability to multi-task in a fast-paced environment
- Experience in organising global travel, creating itineraries and schedules
- Meticulous attention to detail
- Friendly and approachable with the ability to develop great working relationships
- Ability to exercise sincere discretion and confidentiality
- Excellent time management skills and flexibility to work additional hours as required
- Confident and clear communicator
- Proficient with the full suite of Microsoft Office 365 applications
