Executive Director, Strategic Enrollment Initiatives
Job Summary:
The executive director will lead strategic projects for initiatives across the division and the university which support utilizing critical technology to improve processes, data collection and student experience. This role will work closely with leadership within Enrollment Management (EM) departments as well as areas across the institution to lead, manage and coordinate the planning and development of critical projects. Working collaboratively with senior leaders on campus, this position will assist the Vice Provost for Enrollment Management & Dean of Admissions in the development and execution of strategic cross functional projects.
This role will devise innovative and data-informed solutions to help EM departments reimagine current operations and workflows, leveraging modern technologies such as the Constituent Relationship Management (CRM) system, Slate by Technolutions. The executive director will providie executive leadership and oversight of the CRM while aligning with institutional priorities. Additionally, he/she will own and develop strategic and operational goals with short to mid-term impact to EM and the university. Develop and implement new products, processes, standards or operational plans to achieve strategies. May manage large projects involving interdisciplinary teams. Problems and issues faced are difficult, numerous and undefined, requiring extensive investigation to understand the root cause. Problems impact multiple departments, specialties, and disciplines. Solutions to issues are novel and unique, and achieved through research and integration of best practices. Work to convince others to accept and agree to new concepts, practices and approaches. Communicate with executive leadership regarding matters of significant importance to the organization. Frequently responsible for providing guidance, coaching and training within area of expertise.
Required:
- Bachelor’s degree
- Six to ten years of professional experience in an Enrollment Management environment (Admissions, Financial Aid, Registrar, Student Success, etc.) with emphasis on managing large multi-unit projects, teams, or processes.
- Five to seven years of experience working with and/or implementing a CRM solution with preference going to those with Technolutions Slate experience.
- Ability to work independently and collaboratively.
- Understanding of Enrollment Management and public higher education.
- Experience managing a team of staff with varying skillsets.
- Experience managing project expectations with executive leadership.
Responsibilities:
Project Management & Prioritization (35%)
Guide day-to-day execution of Enrollment Management initiatives, focusing on accuracy and timeliness in meeting short- and long-term goals. Collaborate with relevant Enrollment Management stakeholders to develop project management plans for enrollment technologies and maintain project timelines. Oversee the use and coordination of the CRM system. Supervise the flow of information between CRM and university information systems. Responsible for ensuring accurate configuration, thorough testing, successful implementation and ongoing maintenance of the prospecting/application system, Slate by Technolutions, as well as synchronization with the university’s S3 and other systems. Diagnose program failures with various information systems (student information system, custom web applications and web sites, online applications electronic document management system, etc.), coordinate testing of corrections and introduce resolutions to issues. Serves as overall Project Manager for CRM and a variety of other vendor-based and custom-developed solutions for EM. Oversees work plans and implementation schedules for projects undertaken by the teams, including: meeting deadlines and deliverables; using appropriate tools and platforms; using staff resources appropriately; monitoring/managing progress and risk; managing customer requirements and expectations for projects. Compiles regular status updates for stakeholders and leadership.
Strategic Innovation Liaison for Enrollment Management Departments (35%)
Serve as a systems/procedures resource for EM offices to ensure business process workflow will yield efficient processing and evaluation of high application volume, effective decision release process and seamless document management process, transparent workflows and automation. Proactively look for opportunities to align systems to effectively and efficiently support business needs and capabilities. Ensure that Enrollment Management departments are using the most efficient and reliable business processes, configurations and implementations. Advise on use of current and future systems for student information, online application and prospect management, electronic document management and customer relationship management. Administer best practices to identify populations for communication initiatives, reporting efforts, or application review processes. Develop procedures to automate manually performed procedures.
Solution Architecture (15%)
Research and analyze departmental needs, preferences, objectives, and methods. Study and understand how staff, students, and other audiences consume and act upon content across the enrollment lifecycle. Formulate innovative solutions to optimize enrollment processes utilizing CRM and other systems. Translate OEM staff members' work and responsibilities to system functionality. Establish policy and procedure for prospective and applicant data requirements. Responsible for data integrity within admissions systems and data consistency across systems. Represent Enrollment Management and Carnegie Mellon’s best interests by working with vendors to enhance existing or add new functionality to solutions being used by the Enrollment Management offices. Responsible for the development and enforcement of technical standards and strategies within the CRM environment. Assist with CRM platform management tasks such as profiles / organization design, user roles and permissions, system enhancements, customizations, and integrations.
EM Representation and Professional Development (10%)
Continuously monitor communication trends, technological advances, reporting methods, and higher education best practices to serve as the Enrollment Management solutions expert. In such a role, be prepared to recommend new directions and practices to further advance recruitment, communication and analysis efforts in the recruitment and enrollment of undergraduate students. Stay current with an understanding of audience behavior and demand relative to student engagement during the college-search process. Liaison with enterprise information technology offices. Ensure technical and process redundancy throughout the student recruitment lifecycle including, but not limited to, student information loads, event setup and management, application setup and maintenance, application review, decision release, and setup and completion of communication efforts. Ensure thorough and timely training and documentation options are available.
Staff Supervision (5%)
Functional supervisor assigned to support the duties described above. Establish priorities and monitor progress of systems and programming personnel. Ensure that staff have training/career growth opportunities available to them to enhance their current skills or add new skill sets as dictated by requirements for new projects.
