The Opportunity:
From the moment you wake up in the morning until you go to bed at night consider the media you consume, the adverts you see, the apps you use, the websites you browse and almost all of the shopping you do online throughout the day. Chances are that every single one of those interactions, every single one of those experiences, was touched by an Adobe product.
We’re seeking an experienced Senior Executive Assistant to take on a varied and dynamic role supporting a VP within Adobe’s critical Legal, Security & Policy group, we’re looking for somebody who can excel at an operational level whilst also taking a more strategic view and contributing to broader projects and initiatives as needed.
What you’ll do:
Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation and arranging hotels and meeting rooms.
Coordinate meetings and events as the need arises of the executive and EX team
Handle visits by executives from other regions ensuring travel and itineraries are organised and efficient
Attend key meetings, taking notes and circulating follow up to attendees
Support other International Marketing leaders on an ad hoc basis
Submit expenses and ensure these are taken care of systematically, each month.
Produce information and documents as needed in formats such as PowerPoint
Maintain executive's calendar by planning and scheduling meetings, teleconferences, and travel. Make decisions on diary prioritisation aligned to the executives priorities
Frequent collaboration with other EAs and teams across International and US.
Welcome guests and customers by greeting them, in person or on the telephone, answering or directing inquiries.
Maintain complete confidence and ensure all information is kept confidential.
Places orders for supplies including IT equipment, verifying receipt of supplies.
Be responsible for the Marketing team new hire on-boarding experience
Handling POs as needed
What is needed to succeed:
Extensive experience is a similar role supporting a pan regional leader within an international, dynamic environment.
Evidence of cross regional collaboration and partner relationships.
Excellent communication skills, both written and verbal.
Exceptional scheduling abilities and strong familiarity with Microsoft Office tools.
Time management skills with excellent planning and organisational capabilities and a keen eye for the details.
A naturally collaborative teammate that is proactive and solution minded.
A complete confidential approach to work and treatment of information received as part of the role.
