Job Summary
We have an exciting opportunity for a part time executive assistant role to join our team at International Property Limited. This is a part time remote working role.
In this role you will provide comprehensive administrative support to the Managing Director. You will be head of communication for the managing director. This role requires a high level of professionalism, confidentiality, and excellent organizational skills. The successful candidate will be a proactive problem-solver, an effective communicator, and possess the ability to prioritise and manage multiple tasks in a fast-paced environment.
Essential Skills and Experience:
2 years + experience working in mortgage administration / secretarial role
The Role
Undertake all aspects of diary, meeting, and activity management for managing director and staff.
Arrange staff birthdays, anniversary celebrations and events.
Ensure staff training is completed and certificates are filed appropriately.
Assist with the onboarding of new staff members.
Manage staff holiday requests.
Handle client services calls, with a minimum of five calls per month
Assist with presentations.
Undertake all aspects of admin for the team.
Prepare and distribute a bi-weekly newsletter.
Social media marketing for the company
Update company CRM system
Ensure introducer agreements and supporting paperwork are up to date.
Update company website
Conduct due diligence for new business property development projects.
Manage property development pipeline completion dates, ensuring the company records are kept current and up to date.
Distribute company instructions to staff.
Receive and review commission statements from staff, forward payslips to staff and deal with any pay or commission inquires.
Manage and maintain staffs continuing professional development (CPD).
Manage and maintain fee payments, through company WorldPay, company invoices, procuration fees from lenders and client fee receipts.
FCA reports
Send weekly reports to company introducers.
Provide administrative support to staffs training
Collate 1-2-1 information for each staff member and maintain staff files.
Act as the head of communication for the Managing Director, relaying messages and instructions as needed.
