Executive Assistant to PAI Director

An exciting opportunity for an Executive Assistant within the new Institute for People-Centred AI at the University of Surrey. We’re embarking on a new chapter for Artificial Intelligence, putting people at the heart of AI and augmenting human capabilities to deliver an inclusive and responsible force for good.
Working in partnership with industry, the public sector, government and national AI Organisations, we aim to deliver a step-change in AI Research, training and innovation to deliver the knowledge and skills required to ensure UK leadership of AI-driven economy – and we want you to be a part of this journey.
The post holder will provide executive assistance to the PAI Institute Director and the PAI Director of Strategy and Operations to support the leadership, operational management and delivery of the Institute strategy. Working proactively, the post holder will provide high level executive and administrative support to the Institute leadership to facilitate delivery of the Institute strategy, vision and operational objectives.
This is a great opportunity for someone who is passionate about executive support, collaboration, communication and teamwork. In addition to a high level of accuracy and attention to detail, the role requires a proactive individual with an attitude open to change.
Role & Responsibilities
You’ll be working closely with the Director of the Institute for People-Centred AI, providing high level executive and administrative support and efficient & effective secretarial function.
This will include diary management, preparing correspondence and reports, monitoring email correspondence and taking initiative to action or respond where appropriate, all acting on behalf of the Director.
Other key responsibilities:
- Manage and filter how communications and reports reach the Director, as well as the scheduling of meetings.
- Facilitate and service senior management meetings, preparation of clear, concise and accurate minutes and following these up with written and verbal communications with a high degree of professionalism, clarity and confidentiality.
- Gather and interpret data and present as summary findings - through briefings, presentations and reports.
- Develop and maintain a good knowledge of all University policies and procedures, as well as organisational and committee structures in order to support projects and committees.
- On behalf of the Institute Director, liaise with senior internal and external organisations and individuals both nationally and internationally. There will also be significant contact with all other members of staff within the Institute and external contacts.
