Responsibilities
Main Responsibilities:
- Acting as the first point of contact and dealing with correspondence
- Extensive diary management and organising meetings
- Help ensure meetings run smoothly by including necessary background information in the diary entry meeting description or sending background info in advance
- Taking notes and writing minutes during meetings
- Researching and conducting data to prepare documents for review and presentation
- Reminding the Directors of important tasks and deadlines
- Collating and filing expenses on behalf of the Directors
- Managing the Creative/Managing Directors timesheets and time-tracking systems
- Undertaking ad hoc errands
- Supporting with any personal duties also including restaurant booking, event planning etc
- Support to the wider management team where required
Business Management
- Acting as an Ambassador for Stakeholder
- Maintain collaborative relationships with clients, managers, and colleagues
- Team liaison to help troubleshoot system errors for Stakeholder
- Provide ad-hoc assistance to other business support
- Appraisal process; manage and co-ordinate process, including diarising paperwork coordination and distribution pre and post meetings for immediate team
Experience required
- 5 years PA/EA experience
- Proficient using Microsoft Office and cloud platforms
- Highly organised
- Proactive
- Attention to detail
- Project manager attitude
- The ability to work under extreme pressure and deadlines
- Understanding of project management
- Flexibility in working hours
- Professional and friendly demeanour
- Thorough attention to details
- Self-motivated but able to work as a team
