About the Role:

We are searching for a dynamic and organised professional to provide comprehensive support to our CEO in managing scheduling, communication, report creation, and various other day-to-day operations.

You will act as the guardian of the CEO's time, serving as the first point of contact for anyone seeking to connect or schedule appointments. Additionally, you will have the responsibility of managing miscellaneous projects, as well as conducting research and presenting the results to the CEO and relevant parties, when requested.


Responsibilities:

  • Act as the main point of contact for both internal and external partners, providing efficient and professional communication and representation.
  • Prioritise and promptly respond to phone calls, emails, and Slack messages on behalf of the CEO.
  • Efficiently manage executive calendars, balancing conflicting priorities, and prioritise daily tasks to ensure a smooth and productive schedule.
  • Oversee all business travel logistics (tickets, visas, accommodation, transportation etc).
  • Demonstrate impeccable organisational skills for all files, documents, emails, and other important materials to ensure a streamlined and efficient work environment.
  • Take thorough notes and follow up on action items in strategic team meetings.
  • Perform core administrative tasks such as arranging signatures, managing executive gifting, and handling official documents and correspondence.
  • Execute and assist on miscellaneous projects relevant to the CEO’s goals and objectives, conducting research where necessary.
  • Create presentations, conference submissions, and assist with speeches to support the CEO.
  • Maintain confidentiality while exercising sound judgement and clear communication with tact.


Requirements:

  • Excellent written and verbal communication skills in English is essential.
  • Motivation to assume ownership of projects and tasks, displaying an eagerness to conduct in-depth research when necessary to ensure successful completion.
  • Skilled in time management and able to efficiently adjust tasks and priorities as required.
  • Good understanding of Google Suite (especially Google Calendar, Gmail, Google Sheets, Google Docs, Google Slides), Microsoft Office Suite and Slack.
  • Strong drive to optimise processes, always striving for increased efficiency and better outcomes.
  • Meticulous attention to detail, with commitment to ensuring outstanding quality in all tasks and responsibilities.
  • Ability to seamlessly handle multiple tasks and effectively prioritise problems in a fast-paced environment.
  • Experience with project management tools such as Asana, ClickUp, Notion etc, would be advantageous.
  • Demonstrate a proactive approach and an unwavering drive to exceed expectations and deliver exceptional results.
  • Proven experience in operations, hospitality, property management, or similar fields is a plus.
