Location – Work from home

Salary - £32,000 - £35,000 pro rata (3 days a week)

Job Purpose: We are seeking an experienced and highly organized Executive Assistant to provide comprehensive support to the CEO and manage the administrative operations associated with the Board. The successful candidate will have a proven track record of effectively coordinating complex schedules, facilitating, and managing projects, putting together Board packs, and maintaining the utmost confidentiality in a fast-paced and dynamic environment.

Responsibilities:

Executive Support –

· Act as a strategic partner to the CEO, managing their calendar, travel arrangements, and appointments.

· Prepare and organize materials for meetings, presentations, and company events.

· Conduct research and compile relevant information for the CEO's decision-making processes.

· Draft, proofread, and edit correspondence, reports, and other documents as needed.

· Handle incoming communications with professionalism and discretion.

Board Administration -

· Facilitate board meetings, including scheduling, agenda preparation, and documentation distribution.

· Coordinate with board members to gather and distribute meeting materials, ensuring timely delivery and compliance with protocols.

· Put together comprehensive Board packs, including reports, financial data, and strategic insights.

· Assist in the preparation of board meeting agendas, minutes, and resolutions.

· Maintain accurate and up-to-date board records, including meeting minutes, resolutions, and other pertinent documentation.

· Coordinate logistics for board events, retreats, and other activities as required.

Project Facilitation and Management -

· Collaborate with various departments to facilitate projects, ensuring clear communication, deadlines, and deliverables.

· Help manage project timelines, milestones, and resources to ensure successful project completion.

· Provide support in preparing project-related materials, presentations, and reports.

Communication and Collaboration -

· Serve as a liaison between the CEO, senior management, board members, and external stakeholders.

· Build and maintain effective relationships across all levels of the organization, promoting a positive and cohesive working environment.

· Collaborate with executive assistants from other departments to ensure seamless coordination of company-wide initiatives.

Confidentiality and Discretion -

· Handle sensitive information with the highest level of discretion and confidentiality.

· Uphold ethical standards and maintain professionalism in all interactions.

· Safeguard confidential materials and records in compliance with company policies and legal requirements.

Qualifications:

· Bachelor’s degree in Business Administration, Communications, or a related field (preferred).

· Proven experience as an Executive Assistant supporting C-level executives.

· Minimum of 3 years’ experience with project management skills.

· Experience with putting together Board packs and facilitating and managing projects.

· Exceptional organizational and multitasking abilities with keen attention to detail.

Skills:

· Excellent verbal and written communication skills.

· Proficiency in MS Office Suite and other relevant software.

· Strong problem-solving skills and the ability to anticipate needs.

· Discretion in dealing with confidential information and a high level of integrity.

· Flexibility to adapt to changing priorities and work independently with minimal supervision.

Ideal Candidate

· Candidate having 3-5 years of experience as an Executive Assistant to CEO for a small-medium organisation.

· Highly skilled in managing complex schedules, calendars, and tasks efficiently.

· Excellent written and verbal communication skills for effective correspondence and interaction.

· Demonstrates unwavering discretion and confidentiality in handling sensitive information.

· Proficient in prioritizing tasks and meeting deadlines in a fast-paced environment.

· Adept at using office software, calendar tools, and communication platforms.

· Takes initiative, identifies opportunities to add value, and anticipates needs without constant direction.

· Possesses a knack for addressing issues proactively and finding effective solutions.

· Maintains a high level of professionalism, always representing the CEO and the organisation positively.
