I.WHY THIS MISSION:
We are looking for an experienced executive assistant to provide broad and comprehensive support, as a short term assignment, working alongside the Global Chief Organisation and People officer as well as the Head of O&P Governance and Strategic Planning to provide business continuity for a period of 6-9 months. This role will transitionally support our governance cycle, end to end administrative support as well as stakeholder management to ensure O&P is working effectively with all parts of the organization ensuring seamless handover for the period of the mission.
II. MAIN AREAS OF RESPONSIBILITIES:
Provide administrative support to the CHRO while being the primary point of contact for internal and external stakeholders on all matters pertaining to the office, including those of a highly confidential or critical nature
- Strategic calendar management: Prioritise the very busy CHRO agenda in support of critical priorities
- Manage travel, expenses, invoicing, etc.
- Compose correspondence in French and English
- Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the office, including those of a highly confidential or critical nature
Support the O&P governance cycle while collaborating and creating the link between the company’s Leadership Team and the HR Leadership Team
- Work closely with the Head of O&P Governance and Strategic Priorities, for instance bringing support to the global budget, governance and HR strategic priorities
- Support guiding extended O&P teams to embed governance protocol (e.g managing pre-read, agenda topics and speakers)
- Handle logistics for calls, meetings and events (some international/travel required) including taking meeting minutes Project Management
Project/Department support across O&P teams which may include coordination of extended community meetings, agendas, action items and project management to help balance workload.
- Create/update presentations
- Comprehensive and strategic meeting minutes and follow up actions throughout O&P governance meetings
- Maintain digital library
Skills Needed:
- Extremely organised and able to multi-task and work at fast pace
- Understanding of complex scheduling & flexibility to change based on individual needs, geographies, levels of urgency, etc.
- Discretion to handle confidential information and sensitive issues
- Strong communication and interpersonal skills, as point of contact for internal communities & external partners, both in French and English
- Intellectual curiosity/mental agility, international outlook and multicultural sensitivity.
- Service oriented attention to others and strong emotional intelligence along with creativity, patience, positive energy and good sense of humour
- Project management skills
- Proficiency with Microsoft Office, collaboration tools and digitally savvy
