About the Role:
We are currently seeking an ambitious individual to join our HSBC Private Bank as Executive Assistant to the HSBC Private Bank UK CEO.
The primary purpose of this role is to provide executive administrative and business support for HSBC Private Bank UK’s CEO. There is a high volume of work which will require a thorough and thoughtful response, ensuring deadlines are met in an often time pressured environment. It will be necessary for the role holder to be highly adaptable and resilient. The role holder will need to be proficient in senior stakeholder management and will need to be a collaborative team player.
Key responsibilities will include:
- Act as efficient and courteous gatekeeper, ensuring the Executive is accessible whilst protecting from unnecessary interruptions.
- Extensive Inbox management. Monitoring emails throughout the day, responding on behalf of the Executive where possible. Flagging any urgent emails with the Executive. Tracking that the Executive has responded to emails by monitoring sent items.
- High volume diary management, using initiative to resolve conflicts and anticipating requirements, ensuring efficient scheduling of meetings, co-ordinating with all relevant parties to ensure best possible use of time.
- Provide proactive maintenance of calendar, looks ahead to resolve any meeting conflicts to free up time for the manager to work on key projects/initiatives.
- Maintain meeting plan for various committees (Leadership meetings, Town halls, Group Collaboration Meetings, Industry events etc.), and coordinate attendance.
- Ensure meetings are organised, papers and agendas prepared / collated in advance of the meetings.
- Act as a delegate for system approvals and transactions on behalf of manager. Attention to detail and proven experience of dealing with highly confidential information is therefore required.
- Drive team communications ensuring all team members are receiving relevant and useful information.
- Consistently demonstrate a willingness to own/tackle problems as they arise and ability to identify issues for upward referral
- Co-ordinate travel arrangements, using initiative in managing itinerary times, costs within HSBC policies.
- Working collaboratively with other relevant business lines and HSBC wider EA networks.
To be successful in this role you should meet the following requirements:
- A demonstrated background of working as a Personal Assistant/Executive Assistant
- Demonstrates strong organisational & time management skills, is flexible to change and regularly acts on own initiative
- Superior communication skills, both written and verbal is essential
- Ability to effectively prioritise conflicting demands and work within a fast paced changing environment
- Strong interpersonal skills, ability to build and maintain effective relationships with Senior Stakeholders and Executive Assistants.
- Thorough understanding of banking procedures, functions and activities is preferred.
- Strong team player focussed on solutions
- Experience of working effectively in a high-pressure and challenging environment
- Flexibility of approach, together with a ‘can-do’ attitude, is key
- Excellent knowledge of MS Office applications, including use of Outlook as a business tool
