Our Charity’s Community Services are provided in the Almshouse accommodation at Blackheath and at Ralph Perring Court in Beckenham, through the vibrant communal space in the John Morden Centre and the case management approach that proactively identifies, assesses, and supports the most vulnerable in our community. Our residential care home, Cullum Welch Court (“CWC”), provides personal nursing and dementia care 24/7. With 32 beds, it is small enough to maintain a personalised service to its residents, yet large enough to provide the facilities required to meet their range of needs.
JOB PURPOSE
Morden College is seeking a highly organised and proactive Personal Assistant to support the Director of Health & Wellbeing and the Directorate Senior Team. As a Personal Assistant you will play a crucial role in ensuring the smooth and efficient operation of the Director and Senior Team’s daily activities.
KEY RESPONSIBILTIES AND DUTIES
- To provide comprehensive administrative support to the Director of Health & Wellbeing and Directorate Senior Team, including calendar management, travel arrangements, and expense reporting.
- To act as the primary point of contact for internal and external stakeholders, demonstrating professionalism and exceptional communication skills.
- Manage and prioritise incoming correspondence, emails, and phone calls, ensuring timely and appropriate responses.
- Prepare and coordinate meetings, and events, including scheduling, agenda creation, logistics, material preparation and minutes. Ensuring any follow-up actions are completed.
- Conduct research and compile reports, presentations and other documents as required by the Senior Team.
- Assist with special projects and initiatives, collaborating with cross-functional teams to ensure successful completion.
- Maintain confidential information with the utmost discretion and handle sensitive matters in a professional and tactful manner.
- Coordinate and maintain records, databases, and filing systems, ensuring accuracy and accessibility of information.
- Proactively anticipate the needs of the Director of Health & Wellbeing and Senior Team, providing proactive support and suggesting improvements to enhance efficiency.
- Stay up to date with industry trends, company updates, and relevant news to provide insightful and relevant information to the team.
- Be responsible for the day-to-day output and engagement across a range of social media channels including Facebook, Instagram, Twitter, and LinkedIn
- To operate in accordance with the College’s policies and procedures as detailed in the Staff Handbook and elsewhere and ensure compliance with Safeguarding Adults policies and Care Quality Commission legislation.
- To work in accordance with the Health and Safety at Work Act 1974 and related College regulations; understanding the health and safety policy and ensuring that care is taken to protect the health, safety and welfare of residents, staff, and visitors in Morden College. This will include reporting of faulty equipment to the relevant manager.
- To ensure compliance with the General Data Protection Regulations 2016 and Data Protection Act 2018.
SKILLS, QUALIFICATIONS AND EXPERIENCE
- Proven experience as a Personal Assistant or similar role, preferably supporting senior-level executives.
- Excellent organisational and time management skills, with the ability to multi-task and prioritise effectively in a fast-paced environment
- Strong written and verbal communication skills, including exceptional attention to detail.
- Proficiency in using social media, office software and tools, such as Microsoft Office Suite and calendar management applications.
- High degree of professionalism and integrity, with the ability to handle confidential information with sensitivity.
- Strong problem-solving and decision-making abilities, with a proactive and resourceful approach.
- Ability to work independently, exercise good judgment, and take initiative when necessary.
- Flexibility to adapt to changing priorities and deadlines, with a positive and adaptable attitude
- A professional demeanour with excellent interpersonal skills, fostering positive relationships at all levels of the organisation.
