Job description
This role will require a senior level Executive Assistant Manager who will take responsibility of recruiting, training, and mentoring a team of EAs and who is happy to take on traditional EA duties alongside their responsibilities.
Key responsibilities:
- Oversee a team of Executive Assistants and their workload to ensure efficient and effective administrative support
- Help to coach and develop individuals that are passionate about delivering proactive support to the people they assist
- Proactive management and organization of administrative tasks for the regional HR leadership team to include complex diary management and scheduling of meetings across time zones for senior management
- Arranges events for the overall team and distribution of HR announcements
- Co-ordination of travel arrangements; preparing and distributing agendas for travel
- Help the more junior members of the team to learn and build the foundations of the Assistant’s role
- Act as the point of contact for all members of the team, in being available to help resolve any queries or complaints by using effective listening, questioning and problem-solving skills
- Improve our ways of working and operational effectiveness by reviewing established tools or processes on an ongoing basis as the organization and possible solutions evolves
- Manage recruitment for all open roles and onboarding of team members
- At busy times, providing cover/being a point of contact for when a member of the team is not available
- Maintaining the divisions organization chart with new joiners and leavers
- Oversight of the day-to-day operations of the London office environment to include maintenance of office supplies, organization of in person events and onboarding of new joiners and related new joiner tasks
Qualifications:
- Previous office administration experience preferably within a large and complex financial services or similar organization
- Highly proficient in Microsoft Office and Modern Collaboration tools e.g. Teams, Zoom
- Significant senior level executive admin experience at the C-Level support
- Consistently demonstrates clear and concise written and verbal communication skills
- Demonstrated ability to quickly gain command of new systems
- Self-motivated and detail oriented
- Excellent organizational skills and ability to work proactively without close supervision.

- Bachelor's/University degree or equivalent experience
