Main Purpose and Scope of the Job:
Working alongside the Executive Support Manager and another Executive Assistant to provide a first-class support service to the Executives and Senior Leadership Team.
Reports to: Executive Support Manager

- Experience working on an international scale across several time zones.
Key Responsibilities:
- Support the Senior Leadership Team and assist with overflow of work with Executives.
- Managing diary and scheduling of meetings, internal and external.

Maintain, understand and update company calendar
(chase and ensure documentation is in depository ahead of meetings)
- Manage the agendas for several meetings, including gathering meeting content, facilitating meetings, taking detailed notes, and following up on action items.
- Provide on-site administrative support to the Execs and Senior Leadership Team in a hybrid work model.
- Keep up-to-date with team procedures and assist and support work as required.
- Oversee, complete and submit expenses.
- Raise Purchase Orders and approvals
- Assist with internal and external approvals, i.e. additional work requests, contract approvals, SOW approvals, etc.
- Arrange travel and itineraries, to include all arrangements flights, visas, hotels, transfers etc. and prepare detailed itineraries for any visits by the SLT or VIP visitors.
- Understand the Travel and Expense Policy and ensure this is adhered with.
- Monitoring of inbox and flagging urgent items to ensure they are actioned.
- Assist other team members with conference organising, to include all logistics and scheduling of meetings.
- Support Executive Support Manager in the team objectives and goals.
- General admin, filing, photocopying, ordering lunches for Executives / working lunches and willingly carrying out any other duties required to meet with the needs of the business.
