We are looking for an experienced Executive Administrative Associate to join our team supporting General Management in our Distribution Business Segment in London.
This is a permanent role working 37.5 hours per week, Monday – Friday, flexibility on hours will be needed due to the nature of the role.
Salary is up to £43,000 depending on skills and experience.
In this role, you will make an impact in the following ways:
- EA will be responsible for coordinating agenda for ILT (International Leadership Team) meeting agendas. Ensures that we prioritise the right topics so the team in spending time on the right areas.
- EA will also support ILT events, Face to face meetings and workshops.
- Acts as an extension of senior management ensuring a positive customer experience while being the representative of senior management to others.
- Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, overseeing visitors, routing callers, and answering questions and requests.
- Anticipates to the needs of senior management and manages his/her schedules.
- Arranges and coordinates travel arrangements including expense reports and visa/passport requirements.
- Gathers, compiles, verifies, and analyses information for management' use in documents such as memos, letters, reports, speeches, presentations, and news releases.
- Facilitates smooth communications between senior management and coworkers and between senior management and external parties such as media, customers, vendors, and the public.
- Monitors, reviews, and approves standard expenditures to ensure the activities of the office are conducted within established budgets.
Qualifications
To be successful in this role you will need the following:
- Ability to influence and execute, coordinate across geographies, support a global Leadership Team, organize events in different countries.
- Very well organized and agile with the complexities of the multiple geographies.
- Hybrid role, working 1-2 weeks per month in the London office, but would need to be flexible when team members are in the UK etc.
- Significant work experience and in-depth knowledge obtained through specialized training and relevant experience.
- Spanish language skills would be desirable.
