JOB PURPOSE
We have a newly created opportunity to join us as an Executive Assistant to our Chief Visual Officer. This is an exciting and highly visible role supporting a respected and creative individual in one of the most important functions of our business, so we’re looking for an exceptional assistant to be an ambassador for our Chief Visual Officer and operate as true right hand in this one of a kind role.
This role as an Executive Assistant is offered on a full time, permanent basis and will be working from our iconic Horseferry Campus in Westminster. Due to the nature of the Chief Visual Officers’ department and role, and the physical environment they work in, their Executive Assistant will be required to be in the office full time (initially).
KEY RESPONSIBILITIES
- Partnering closely with the Chief Visual Officer to thoroughly understand the Visual function, and using this knowledge the manage a busy diary, requests and workload
- Acting decisively to manage the Chief Visual Officer’s agenda and schedule, ensuring time is protected and prioritised effectively
- Full inbox management, relaying any time-sensitive, critical communications discreetly and appropriately
- Extensive travel organisation across the world, including flight, hotel, car bookings, visas and producing detailed travel itineraries
- Pre-meeting preparation, which will include producing deck, documents and packs, providing background information and context for both internal and external audiences
- Proactively supporting any events and meetings, from Executive Committee and Senior Leadership Team meetings, to departmental town halls and team socials
- Processing expenses and purchase orders alongside full review of both for any direct reports prior to Executive approval
PERSONAL PROFILE
- Extensive experience working as an Executive or Personal Assistant within a creative environment in a busy and constantly moving global organisation
- Experience in managing a small team where you have demonstrated leadership and fairness
- Passionate and inquisitive about luxury fashion, interiors and trends, curious to learn and keep up to date in these industries
- Proficiency in Microsoft 365, Apple devices/software, virtual meeting technologies and AV set-up
- Expertise in Concur, SAP and Adobe InDesign highly desirable
- You will effortlessly work with confidentiality, discretion and diplomacy in mind, and be able to navigate complexity and ambiguity with ease
- High levels of emotional intelligence, empathy and resilience to enable a true partnership and support to the executive
- Ability to engage, influence and communicate across all levels of seniorities, cultures and communication styles to build relationships, trust and credence
- A true expert in prioritisation, problem solving and organisation while maintaining an incredibly high level of detail, a sense of calm and positivity
