Role Context:
This is a dynamic role that will require strong communication and leadership skills as well as problem-solving skills. You will be working closely with two of Worley’s Vice Presidents and the facilities team to manage the Stockton office.
The role will vary day to day and require flexibility, it will include executive assistant/personal assistant activities and facilities tasks.
This role is based in the office on a full-time basis.
You'll be:
Completing all administration tasks in an efficient and timely manner as requested by the team to enable the business to function.
- Using Worley systems, such as Timesheets, Concur (travel booking tool), etc to manage tasks required.
- Providing comprehensive administrative support to our Leaders, including support with calendars, scheduling meetings, coordinating travel arrangements, and organising logistics for events and conferences.
- Working with the Facilities Management team, provide support with all aspects of the office management – oversee facilities management activities, including managing office space, coordinating maintenance and repairs, ordering supplies; collaborate with relevant departments to address facilities-related issues.
- Assisting with booking and planning travel arrangements, including flights, accommodations, ground transportation, as well as managing travel itineraries. Ensure travel plans are communicated and changes are dealt with as they arise.
- Supporting the facilities management (FM) to ensure all building/equipment faults are recorded on the Europe Facilities Management helpdesk (QFM) database.
- Supporting the FM to provide support to key customers for the provision all services related to maintenance of an office including but not limited to, vending, catering, cleaning, security, office furniture and waste.
- Supporting the FM to ensure all waste management facilities kitchen bins and confidential shredding.
- Keeping floor plans and providing updates on building occupancy.
- Assisting with weekly fire alarm tests, and act as fire marshals during building evacuations
You'll have:
Proven experience as an executive assistant or in a similar senior-level administrative role.
- Excellent communication skills both verbal and written with the ability to communicate effectively with individuals and clients at all levels with the ability to work and respond to sensitive and highly confidential areas of business
- Accuracy and personal pride in a job well done with attention to quality work
- Experience in office management (preferred)
- Facilities management experience (preferred)
- Previous Experience of business travel
- Good understanding of office administration processes and practices
