Job Outline:
The Executive Assistant role is an essential corporate role that supports senior leadership and Board to be effective in their roles. The role is designed to support members of the senior leadership team to deliver their roles in an organised way by providing a high-quality support service.
You are required to be proactive and professional in your judgement on how to deal with problems and enquiries as they arise. The post calls for a high degree of initiative, judgement, confidentiality, tact and discretion.
Job Functions:
· Provide effective support to the CEO and the Executive Management Team
· Co-ordinate and support meetings, including preparation of agendas, collation of data, formatting, and distributing of meeting papers.
· Produce minutes and action points for meetings, ensuring that issues raised are including diary management and the scheduling of internal and external meetings
· Provide governance support working to the Company Secretary.
· Maintain confidential staff and general files as required ensuring staff and Board contact details to be kept up to date.
· Maintain diary for the Boardroom bookings and ensure Board Room equipment and refreshments are available.
· Undertake duties relating to invoices processing, purchase ledger, letter distribution
· Handle telephone and other enquiries in a helpful and efficient manner using his/her own initiative to redirect queries as appropriate.
· Provide a Library service for all Policies and Procedures for all current policies and procedures of the Association and maintain the Boards Document Library.
· Maintain folders on the Association’s ICT systems to ensure appropriate filing and data protection and that GDPR requirements are met.
· Carry out ad hoc data gathering and research to assist the EMT with specific projects or reports.
· Working with others to maintain and develop the Association’s website.
Job Type: Full-time
Salary: £27,000.00-£30,000.00 per year
