Job description
Join us at the world-leading CRUK Cambridge Institute. We're a unique department of the University of Cambridge, core funded by Cancer Research UK's charitable activities, and we're eagerly searching for our new Executive Assistant.
The Executive Assistant will provide high-level personal assistant and administration service to the Institute Director. Key responsibilities include, but are not limited to, the below:
- Manage and organise meetings both office and committee meetings acting as secretary/PA to the Institute Director including, diary co-ordination, room bookings, travel arrangements, preparation of necessary paperwork and documentation, production and circulation of minutes, and follow up on actions.
- Manage administration and broader operations projects including, identify key tasks and timeframes to enable completion of projects within a specified time, identify dates, key actions required, co-ordinate activity within the department, keep management up-to-date on progress of the project, identify key decision points.
- Attend Senior Management Team meetings as needed, act as an interface between the service management and the Director's office.
- Managing telephone calls when required and resolving matters professionally and calmly and taking action on requests and meetings for and on behalf of the Institute Director without the requirement of intervention. As the Institute Director is often out of the office, the role holder needs to have extensive knowledge of their work in order to deal efficiently with enquires, handling these personally or passing them to appropriate officers or making sensible and clear notes for the attention of the Institute Director on their return.
- Monitor expenditure to ensure it is properly planned, compile and present draft budgets for approval, monitor expenditure against budget, account for variances, keep management up to date and flag up any concerns.
- Oversee the use of institute space for key events, such as visits from government ministers, royal visits, and other VIP events. Ensure that appropriate facilities are booked and available to meet unique security requirements.
Our institute links the laboratory to the clinic, carrying out cancer research of direct relevance to patients.
