The role
The University of Bristol Law School is seeking a part-time Executive Assistant to provide a professional, efficient and effective administrative service, supporting a Future Leaders Fellowship research project. You will work with the project’s Principal Investigator to ensure key administrative activities are managed and delivered on time.
As part of the role, you will participate in all aspects of project administration, including organising meetings, conferences and workshops (online and in-person), planning travel, accommodation and catering, managing the grant budget, disseminating information about the grant through different online fora (e.g. website, etc.), administering and creating online filing systems relating to the project, supervising the diaries of key stakeholders on the grant, and communicating with students and stakeholders regarding grant-related teaching.
While there is no requirement that you will have prior knowledge of the subject matter of the research project, you will need to exhibit tact, discretion and maintain a very high level of confidentiality in relation to all aspects of the role. Independence and initiative will be required to react to changing priorities and work circumstances, with the scope to make decisions within their own remit. While the role will involve daily communication and coordination with the project’s Principal Investigator, the role holder will organise their own day-to-day workload to meet their objectives. They will need knowledge of a range of IT systems and University processes to proactively support the efficient administration of the project.
You will be part of a wider executive support team based in either the Wills Memorial Building or 8-10 Berkeley Square. There may be opportunities for working at home under the university's blended working scheme.
What will you be doing?
- Providing diary management and support for the Principal Investigator and other stakeholders.
- Supporting project activities, for example, event organising and booking travel arrangements for meetings, workshops and conferences.
- Drafting project communications, including using creative programmes to maximise impact, to engage with all grant stakeholders and students.
- Assisting the Principal investigator in managing the project
- Servicing grant meetings, including preparing minutes of meetings and workshops.
- Proactively seeking to improve project processes and keeping resources up to date, and serving as a link between the project and other stakeholders within the University of Bristol.

- You can complete tasks with a high level of accuracy and in observing a high degree of confidentiality.
- You are flexible and a good team player, as well as being able to work independently and show initiative.
- You can work in a busy environment, both multi-tasking and reacting quickly to changing circumstances, but also be proactive in improving processes.
- You are experienced in using a range of IT systems and are able to adapt to new systems and processes quickly.
The role is part-time but the grant team would welcome the role holder working over 4 or 5 days per week.
