About us
The Business Operations team was created in 2021, designed to bring together administrative & executive support services into one centre of excellence, supporting teams across UCL’s Vice-Provost & Vice-President Offices.
About the role
Please note this role is for internal applicants only and we close the role sooner than the end date. The Executive Assistant will provide executive support on a daily basis, for a maximum of three Directors, or one Vice Provost within UCL’s Professional Services. This will include managing extensive calendars, coordinating high-level events and meetings including taking and preparing minutes, assisting with report and presentation production, processing expenses, travel arrangements, undertaking specialist analytical tasks and interacting daily with senior staff on operational issues. Reporting to the Executive Support Manager, the post holder will be responsible for supporting Professional Services Directors with the department(s). As a member of a team of specialist Executive Assistants the post holder will be expected to work collaboratively and provide cover to other Executive Assistants when necessary.
About you
We are seeking a candidate with previous experience of working as an Executive Assistant in an organisation of comparable size and complexity. The applicant will need to be customer focused with experience servicing high-level committee meetings and minute taking. We are looking for a candidate with the ability to effectively communicate at all levels and be discrete when dealing with confidential and sensitive matters. The candidate must possess excellent organisational skills and the capacity to work under pressure, plan and coordinate multiple activities for self and others and manage competing priorities.
