Executive Assistant
Location: Hybrid working (working from Abington, Cambridge at least 1 day a week)
Contract: Permanent
Hours: Full time 36 hours per week (part time will be considered)
Salary: Min £28,409 - Max £42,613

TWI’s Director Services Team are seeking a professional and experienced Executive Assistant to work alongside our current team to support the team of Executive Directors.
Description of role:
We are looking for an Executive Assistant to support two directors of the Senior Executive Team. Working as part of a small team of Executive Assistants you will work closely with the Directors to accomplish their day-to-day tasks. You will handle a wide range of high-level administrative tasks including executive communication, handling of corporate documents and arranging executive meetings and events.
The ideal candidate will enjoy working in a face-paced environment and possess the ability to adapt quickly to many different situations.
Typical duties, but not limited to:
- Provide professional, diligent and pro-active day-to-day administrative support to the Executive Board.
- Working closely alongside Executive Assistant colleagues, to assist the Executive Directors with the planning and delivery of their objectives. To include undertaking projects as necessary.
- Extensive and complex diary management, dealing with often last minute or urgent changes, and across various time zones.
- Planning and booking of international / national travel arrangements, including liaising with local and global offices for scheduling of local meetings and events. Operating in line with TWI travel procedures as well as travel and security guidance when arranging travel, visas, accommodation and other logistics.
- Management and organisation of large-scale meetings, including Board meetings, taking place in the UK and overseas.
- Preparing agendas, collating and distributing papers for Board, Committee and Senior Team meetings. Taking minutes, managing action trackers and following up when required.
- Organising internal meetings, lunches and dinners, and office events as required.
- Collaboration with Finance, PAC, Communications, Marketing, Facilities and IT colleagues and liaising with TWI staff in all areas of the business.
- Continual improvement of internal systems and processes.
- Maintaining discretion and confidentiality at all times.
To be successful in this role it is essential that you have:
· Previous experience with supporting at C-Suite Director level
· Excellent interpersonal and communication skills both oral and written
· Exceptional organisational and diary management skills
· Confident working with Executive Directors, non-Executive Directors and wider senior teams
· You have integrity, a calm, proactive, flexible and discreet approach
· High level of flexibility and adaptability
· Ability to multitask and prioritise an ever changing workload
· Ability to work under pressure and reach deadlines
· Team orientated with a friendly and approachable disposition.
· The ability to build relationships at all levels across the business and with external contacts.
· Strong Proficiency in Microsoft Office, PowerPoint and Excel
· A qualification in Business Administration or a related subject would be advantageous.
