Job purpose:
As an Executive Assistant you will provide support to the Group Managing Director/Chief Treasury Officer, Group Finance Director and Executive Direct Reports to ensure the efficient running of the business area.
Key accountabilities:
- To provide a highly confidential approach at all times.
- Management of two complex diaries to ensure a professional and organised approach at all times - understanding the priorities of the Directors, re-organising workload and tasks accordingly to ensure they are able to deliver.
- Attend senior management meetings – action track/minute.
- Track progress of actions and provide updates to Directors.
- Build and maintain positive relationships with internal and external stakeholders
- Management of team Administrative Assistant (1-2-1’s, delegation of tasks, managing workload etc)
- To provide an efficient and professional meet/greet service for clients/visitors.
- To assist with organising all UK and overseas travel arrangements (including visas, accommodation, transport etc.)
- Organising overseas conference schedules of multiple senior colleagues. Role may require occasional travel to London/Barcelona.
- To assist in the management and coordination of internal/external events
- Key contributor to Social, Charity & Community Committee
- To assist with ad hoc administration tasks where required to ensure that all deadlines are adhered to and completed.
Essential skills and experience:
- Experience dealing with Senior Director(s)
- Proficient in Microsoft office including Outlook, Word, Excel and PowerPoint
- Attention to detail with strong time management and organisation skills
- Confident, self-motivated with a proactive approach
- Strong communication skills & administration skills
- Flexible and adaptable to change
- Able to work in a fast paced environment
- Integrity
- Ability to prioritise workload and work to tight deadlines
