Location: Abington, Cambridge (at least 3 days a week)

Contract: Permanent

Hours: Full time 36 hours per week (part time will be considered)

Salary: Min £28,409 - Max £42,613


TWI is one of the world’s foremost independent research and technology organisations, with expertise in materials joining and engineering processes. TWI provides engineering consultancy to its Members and stakeholders with authoritative and impartial expert advice, knowhow and safety assurance related to engineering technologies. Working as part of the wider Director Services Team, are seeking a professional and experienced Executive Assistant to specifically support the Director of Technology & Strategy.


Description of role:

The ideal candidate will enjoy working in a face-paced environment and possess the ability to adapt quickly in a fast paced and transitioning business. Key responsibilities in support of the Director, include:

  • Providing an efficient and effective administrative service to help achieve the Director’s objectives.

  • Undertaking ad-hoc projects for the organisation of events and new management initiatives

  • Acting as the secretariat for key management meetings of the Technology Leadership Team (TLT), including; Monthly Profit & Loss Review meetings; Monthly Sales Review meetings; and Monthly Projects Review meetings

  • Developing an understanding of the key aspects of the businesses and the function of the various management meetings that attempt to manage performance across it, in order to optimally set agendas, invite participants and record/expedite actions from those meetings.

  • Building an understanding of the role of the Director’s direct reports and the structure of the management team below them, so as to be able to identify and connect with the right managers and staff for specific subjects.

  • Using the above understanding to manage the Director’s email inbox, answering, deleting or delegating traffic that does not require Director input, and summarising traffic for information and note.

  • Organising the Director’s diary management using Outlook, often re-scheduling last minute or urgent changes, and ensuring invitees are both available and communicated with in an empathetic way.

  • Handling extensive travel arrangements both UK and Internationally ensuring itineraries enable optimal use of time and ensure the Director can be effective, prepared and able to function optimally in a high pressure and commercial environment. Operating in line with TWI travel procedures as well as travel and security guidance when arranging travel, visas, accommodation and other logistics.

  • Liaising, on behalf of the Director, with internal and external customers including senior government and business stakeholders, Council members, and TWI staff at all levels.

In addition, the role will be required to work as part of the wider Executive Assistant Team, contributing as a team member to shared tasks across the EA Team.


To be successful in this role it is essential that you have:

  • Previous experience with supporting at Group Manager or Director level
  • Excellent interpersonal and communication skills both oral and written
  • The ability to maintaining discretion and confidentiality at all times.
  • Exceptional organisational and diary management skills
  • Confidence in working at Executive and non-Executive Director level
  • A calm, proactive, empathic and discreet approach to communications
  • A high level of adaptability within a fluid and multi-task environment
  • An ability to prioritise an ever changing workload
  • An ability to work under pressure and reach deadlines
  • Strong Proficiency in Microsoft Office, PowerPoint and Excel

A qualification in Business Administration or a related subject would be advantageous.
