Executive Assistant

We are currently expanding our business and are now offering an exciting opportunity to join the team, as Executive Assistant with our Milton Keynes Head Office. We are seeking a highly organised and proactive individual to provide comprehensive support to our executive team. The ideal candidate will possess excellent organisational and communication skills, with a keen attention to detail.
The Executive Assistant will be responsible for managing calendars, handling email correspondence, scheduling appointments and meetings, and ensuring the smooth operation of the executive individuals within a thriving and busy business. The ability to prioritise tasks, exercise discretion, and maintain confidentiality is essential in this role.
Responsibilities:
Diary Management: Effectively manage and maintain the calendars of executives, ensuring accurate scheduling and coordination of appointments, meetings, and events.
Email Management: Handle incoming and outgoing emails on behalf of executives, prioritising messages, responding to routine inquiries, drafting correspondence, and managing follow-up actions.
Scheduling: Coordinate and schedule appointments, meetings, and conference calls, ensuring optimal use of executives' time and efficient allocation of resources.
Prioritisation and Filtering: Review and assess incoming communications, including emails, memos, and other correspondence, to identify urgent and relevant matters requiring executives' attention. Filter out non-essential information and redirect or delegate tasks as necessary.
Travel Arrangements: Assist in making travel arrangements for executives, including flight bookings, hotel accommodations, transportation, and itineraries, ensuring smooth travel logistics.
Document Management: Prepare, review, and edit documents, reports, presentations, and other materials as needed. Maintain organised electronic and physical filing systems.
Meeting Support: Coordinate and prepare materials for meetings, including agendas, presentations, and supporting documents. Attend meetings, record minutes, and follow up on action items as required.
Communication Liaison: Serve as a primary point of contact for internal and external stakeholders, screening calls and inquiries, and providing information or redirecting to the appropriate person or department.
Office Management: Assist with general office management duties, such as ordering supplies, managing office equipment, coordinating maintenance requests, and maintaining a tidy and efficient office environment.
Confidentiality: Handle sensitive and confidential information with utmost discretion, ensuring proper safeguards and protocols are followed.
Qualifications:
- Proven experience as an executive assistant or in a similar administrative role.
- Exceptional organisational and time management skills, with the ability to prioritise tasks effectively.
- Strong written and verbal communication skills, with a high level of professionalism.
- Proficient in using office productivity software (e.g., Microsoft Office Suite, Google Workspace).
- Attention to detail and accuracy in work output.
- Ability to handle multiple projects simultaneously and meet deadlines.
- Strong interpersonal skills, with the ability to build relationships with diverse stakeholders.
- Discretion and integrity in handling confidential information.
- Flexibility and adaptability in a fast-paced and dynamic work environment.
