Job description

- Management of the CEO and Directors diaries on a daily basis.
- Organising meetings and conference calls for the CEO and Directors.
- Providing support for the CEO in respect of travel bookings / arrangements and business documentation.
- Answer all calls made to the main switchboard in a professional manner.
- Deal with outgoing mail as required.
- When required, provide cover / support to Reception desk.
- Arrange courier requests as required.
- Assist the COO with facility related matters.
- Assist the COO with the document retention process on a periodical basis.
- Assist the COO with adhering to Health and Safety obligations in the London office.
- Assist the COO by providing all new joiners in London with an overview of the Health and Safety procedures for the building.
- Assist the COO by undertaking desk assessments for individuals as instructed by International Human Resources and as risk assessments are identified from the desk assessments reports.
- Log accidents in the accident log and file.
- Liaise with employees to make travel bookings/arrangements in accordance with the company’s travel policy.
- Produce detailed itineraries for the CEO and Directors as required and circulate a weekly travel report.
- Arrange and confirm venues and any transportation on behalf of attendees to events arranged by Starr.
- 5 + years’ of Executive Assistant experience;
- Understand business cultures and practice;
- The ability to set up sensible and logical systems of working both on technology systems/drives;
- The ability to manage travel arrangements;
- A basic understanding of the insurance sector, Lloyd’s and the London market in general (desirable but not essential);
- Deliver high-end customer service;
- Planning and organisational skills with proven experience of prioritising a conflicting workload;
- Strong communicator, both written and verbal;
- High level of self-management.
- Systems & I.T - Microsoft Office: Word, Excel, PowerPoint and previous travel booking system; and
- Minimum A Level educated.
