Job description
We are looking to bring on board a team assistant supporting the global Diversity, Culture & Experience (DC&E) Office.
This role is responsible for performing a number of administrative and business support activity including but not limited to meetings and calendar management, international travel planning, event management, expense reporting, project support, procurement administration and general communications / presentation preparation.
Key Responsibilities
- Provide logistic and administrative support to the Chief Diversity, Culture & Experience Officer and his team (based between France and the UK)
- Manage a busy and conflicting agenda
- Organize internal/external appointments and manage logistics for external visitors / team events
- Effectively schedule and coordinate meetings (face-to-face / remote / hybrid) and specific events (workshops, off-sites)
- Contribute to any DC&E events
- Schedule and organize business travel for the DC&E team including coordination and planning with local teams. Manage travel arrangements and expense management in line with local policy
- Update distribution lists, org charts and other key material
- Manage Purchase Requisitions and track Invoices
- Adhere to any relevant Delegation of Authorities (DOAs)
- A key partner in helping to deliver the team‘s goals and working collaboratively with other executive assistants
- Previous experience in a similar role
- Ability to adapt to a complex and fast-moving environment/flexibility in thinking and doing
- Strong international and multicultural approach / awareness
- Good interpersonal skills
- Proactive, collaborative, team player
- Excellent organization, project and time management skills
- Confident IT skills and some knowledge of typical work tools (e.g. Concur/My Travel, ITS, portal, e-Bap, Workday, etc.)
- French speaking would be a benefit in this role
- Degree in any discipline would be desirable
- Ambition to build a career within either Administration or Human Resources
