Job Description
Management
- Deputise for the Secretarial Services Manager in times of absence
- Providing a nurturing environment for PA/TA/Apprentice talent, creating an environment of trust, open communication, creative thinking and cohesive working
- Manage the PA/TA performance cycle, gathering and delivering feedback, benchmarking skills and identifying training needs, ensuring consistency is applied across the team
- Address conduct issues
- Undertake 'return to work interviews', working with the partners and HR to ensure that phased returns are implemented accordingly
- Manage the recruitment process, including the creation of job descriptions, CV filtering, interviewing and arranging offers
- Manage regular group meetings, producing agendas and minutes
- Champion changes as directed by management and business service teams
- Input into the PA/TA/Apprentice training programme, identifying new areas of focus and leading training sessions, if appropriate
- Active participation in projects, undertaking testing and providing feedback
- Working with the partnership to ensure the secretarial team evolve in line with the ever changing role of our fee earners
- Undertaking or arranging skills enhancement for the team when issues are identified
Resource Management
- Manage fee earner/PA allocations and the even distribution of workloads within PA teams
- Manage utilisation of DPU, reprographics, TA team
- Maintain and manage team rotas and overtime
- Manage and monitor practice groups' holiday, sickness and other absences, ensuring appropriate cover and escalating issues as appropriate
- Working with practice group leaders and secretarial partners to establish need for additional resource and prepare corresponding business cases
On-boarding and Training
- Initiate new starter processes, complete documentation and circulate
- Integrate new joiners by arranging introduction to relevant persons
- Provide and/or arrange all on-boarding and induction training, ensuring the firm's policies and procedures are followed
- Deliver the Secretarial Services induction to all new members of secretarial staff
- Ensure leaver process is completed and signed off, including the transfer of files/matters
- Participation in training sessions for new software, processes or procedures
Organisation
- Acting as the point of contact for Business Service teams
- Arrange seating and room allocations for new starters or moves, for example: desks, business cards, equipment and software
- Co-ordinating the assignment of mentors, buddies, PA/fee earner allocation
- Arrange work experience placements and secondments, completing documentation and obtaining right to work documentation, if required

- Previous supervisory experience within professional services
- Excellent communication and inter-personal skills (both oral and written)

- Highly motivated and equipped with the ability to motivate and inspire team members
- Capable of working autonomously and within a team environment
- Strong time management and prioritisation skills

- Able to identify potential issues with an innovative approach to problem solving
- Strong organisational skills and attention to detail

- Advanced knowledge of all legal software systems and Microsoft Office
