Job Description
Orthonika is seeking an outstanding Executive Assistant to support the C-Level Executives and the wider project team. The Executive Assistant will create and maintain an effective working environment to enable our Executives to achieve their short- and long-term goals. The right candidate must have superior organization and planning skills, communicate effectively, consistently demonstrate leadership and be proactive. The role is based from home but travel to events and meetings at Imperial College London may be required from time to time.
Main tasks and responsibilities of the role include:
- Provide support for key project team meetings, including distributing meeting agenda, meeting minutes and action items;
- Schedule and coordinate onsite and offsite meetings (conferences, speaking engagements, collaborative activities, etc.) and effectively manage calendars to coordinate complex and shifting schedules within different time zones;
- Work closely and effectively with the team keeping them well informed of upcoming commitments and responsibilities. Brief and prepare them for meetings as appropriate.
- Support and coordinate with team to collate research, reports and presentation materials such as for upcoming grant applications and board meetings;
- Coordinate business travel, including transport and accommodation;
- Respond to internal and external requests for information and support execution of project plans in a professional and timely manner;
- Responsible for logistical planning and ordering of equipment and materials, including liaising with suppliers and maintaining healthy levels of stock;
- Assist in the preparation and management of work orders, contractual agreements, budgets and financial reports in a timely manner ensuring accuracy and adherence to Orthonika’s policies;
- Support HR activities, including preparation of job ads, shortlisting and scheduling interviews with potential candidates;
- Prioritize conflicting needs and handle matters expeditiously and proactively, by taking appropriate initiative and follow through on projects to successful completion often with deadline pressure. Research, prioritize and follow up on incoming issues and concerns, including those of a sensitive or confidential nature;
- Develop relationships and collaborate with professionals across the organization to achieve the outcomes listed above.
Candidate Profile
The successful candidate must have a self-starter attitude and be able to work in a small team to support the company. They must have a demonstrated passion for leading, managing and completing complex tasks in an entrepreneurial environment. The ideal candidate will have the following attributes:
- 5+ years as an Assistant to a Senior Level or Executive required, preferably with exposure to product development or manufacturing;
- Expert written and verbal communication skills including high level competency in the Microsoft Office product suite (Outlook, Word, Excel, PowerPoint), capable use of technology including mobile, laptop, and text;
- Strong multitasking and organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly from multiple executives with excellent attention to context, substance and detail. Ability to adapt to various competing demands and delegate where required;
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment without constant direction or simultaneous feedback;
- Strong leadership and time management skills with a demonstrated proactive attitude;
- Able to handle confidential information with discretion.

Compensation
£40,000 pa plus discretionary bonus, depending on candidate experience and skillset.
