As an Executive Assistant at Oracle Health, you will provide administrative support to an Oracle Vice President to relieve and assist with complex details and administrative job duties. Within the role, you will handle details of a highly confidential and critical nature, preparing sensitive information for use in discussions and meetings both within the organization and external individuals. You liase with individuals at all levels within the organization to gather information, to analyse data and prepare reports.

Your tasks may include the management of project work and data, the support of organizational meeting planning, logistics planning and note taking, acting as the face of executive leadership to internal and external clients with professionalism and approachability, as well as acting as an early adopter of new technologies and processes to assist other associates in learning and utilizing new tools. Within these duties you may be required to analyse spreadsheet models and track projects. In addition to this, you will be involved with process improvements and identifying new support solutions for executive you support.

Administrative duties may involve calendar management, timesheet and expense submission and travel arrangements. You will prepare a range of routine and non-routine materials for executives in alignment with brand standards, proof reading for consistency, grammar, and spelling, coordinating events on behalf of executive supported. You will also collaborate effectively with internal partners to accomplish various tasks and projects on behalf of executives by communicating goals and objectives to others, and ensuring that solutions and outcomes address the needs of the executive and organization.

Basic Qualifications :

  • Bachelors degree or 4 years equivalent relevant work experience
  • At least 3-5 years of experience in executive support/ administrative work, or office management experience

Preferred experience :

  • Bachelors degree in general studies, business, communications or related field
  • Experience providing administrative support to executives such as calendar management, time recording, travel scheduling and expense submission
  • Experience managing financial expenditures on behalf of the business including purchasing, invoicing and account reconciliation support
  • Experience supporting projects related to business center operations
  • Experience in writing on behalf of executives

Expectations :

  • Willing to work additional hours as needed
  • Proficient in desktop applications such as MS Word, Excel, PowerPoint, email messaging tools, etc.
