A Little About the Role:
Simply to help our Founder and Co-CEO, Kristian, work at his best. As an experienced executive assistant you’ll know all too well that this is a pretty varied task!
Beyond standard administrative tasks (managing a busy diary, scheduling meetings and monitoring, triaging and responding to emails), we are looking for an EA capable of:
- Acting as the gatekeeper - Monitor and manage demands on the CEO's time, determining priorities for his attention and deciding when to delegate or decline.
- Keeping track of the CEO’s priority initiatives, ensuring actions and commitments from stakeholders are followed up effectively.
- Project management of key initiatives on the CEO’s behalf, ensuring timely execution and reporting on progress.
- Carrying out research and presenting key findings to the CEO in an efficient way, likewise parsing the internal reports and updates that come to his attention to condense and highlight the key updates and information he’ll want to know about.
- Being the CEO’s voice when he can’t be around in person - attending meetings or sessions on his behalf and asking the questions he’ll want answered, or on occasion using delegated authority to make some decisions.
- Preparing presentation materials and supporting the communication of initiatives and projects to the executive and wider teams.
- Listening up for informal feedback from the team and determining what is relevant for the CEO to hear about.
- Attend executive and functional meetings, take accurate notes, track actions, and ensure timely follow-up.
- Manage travel logistics for the CEO, including bookings and arrangements.
- Help with general ad-hoc administrative duties - corporate gifting, scanning, printing, filing, organising and coordinating a variety of executive responsibilities.
- You’ll jump in and help out on exciting projects across the company where necessary.
- You are able to act as a mentor to our other executive and personal assistants.
What you’ll need to succeed:
- We’re looking for a talented and motivated executive assistant with significant experience in this role; you’ll be able to partially teach our CEO the best way to work with an EA at this level.
- Ideally you’ll have substantial experience working in an international product/consumer goods company; if this is in a start up or scale up environment even better. However we don’t want this to be a deal breaker - if you’ve read this job spec thinking “this is about me!” but you’re from another industry, we still want to hear from you.
- You’ll be able to articulate exactly how a brilliant EA can help their CEO be more effective, efficient and “create time” in their work life.
- Incredible attention to detail, a brilliant multi tasker and epic organisational skills.
- An agile and proactive attitude and awesome communication skills.
- Can get on board with our values. Especially Rigour and Kindness for this job. And even more especially Passion. Actually, especially all of them. They’re all important
- A passion for pizza and delivering excellent product experiences to our customers.
- This is an in-person role for the most part and you’ll be expected to work from both our Broxburn and Edinburgh Park offices as the CEO’s diary requires. There will also be the need for occasional international travel.
