What you’ll be responsible for:
· Diary management: Manage Digital Programme Director’s diary, ensuring meetings are fit for purpose and the Digital Programme Director’s time is efficiently spent.
· Understanding the Digital Programme Director’s short-, medium- and long-term priorities and assist in shaping the agenda accordingly.
· Email management: Draft all correspondence on behalf of Digital Programme Director, tracking progress on incoming and outgoing email traffic.
· Receive and action all correspondence and enquiries into the Digital Programme Director’s office and prioritising for action, drafting correspondence accordingly.
· Meeting agenda preparations, transcribing and minute taking.
You’ll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
· Excellent communication skills- both verbal and written
· Microsoft office skills- Outlook, Word, and Excel
· Ability to meet deadlines and work under pressure
· Previous executive assistant experience
· Previous NHS experience (desirable)

- Provide administrative support to executives, including managing calendars, scheduling meetings, and making travel arrangements.
- Prepare and proofread documents, reports, and presentations.
- Organize and maintain files and records.
- Answer phone calls and respond to emails on behalf of executives.
- Greet visitors and direct them to the appropriate person or department.
- Assist with customer service inquiries and resolve issues as needed.
- Manage front desk operations, including receiving and distributing mail, packages, and deliveries.
- Transcribe meeting minutes and other important documents.
- Perform data entry tasks and maintain accurate records.
- Utilize Google Suite, Microsoft Office, DocuSign, and other software applications as needed.
Requirements:
- Proven experience as an executive assistant or in a similar role.
- Excellent organizational and time management skills.
- Strong attention to detail and ability to proofread documents for accuracy.
- Proficiency in using Google Suite, Microsoft Office (Word, Excel, PowerPoint), Outlook Calendar, and other relevant software applications.
- Strong written and verbal communication skills.
- Ability to handle sensitive information with confidentiality.
- Excellent customer service skills and professional demeanor.
