Job Title: Executive Assistant
Location: London (on-site)
Summary:
As an Executive Assistant at Native, you will work closely with the President, providing full day-to-day support. This role is fully integrated within the company and you will be immersed in the day to day running of business. It is both a support role and client-facing position, giving you full exposure to the industry and allowing you to gain a full understanding of the commercial running and design thinking behind one of the most successful independent agencies in London.
Key Responsibilities:
As the Executive Assistant to the President, you will be responsible for their full administrative support and contribute to the efficiency of the business. The main responsibilities for this role are:
- Dealing with incoming correspondence from both senior internal and external stakeholders.
- Work closely with the President to understand business priorities and ensure they are kept up to date on their progress.
- Screening telephone calls, enquiries and requests, and handling them when appropriate.
- Setting up and organising meetings and ensuring the President is well-prepared.
- Attending meetings and taking notes, sharing them back in a timely fashion and staying on top of any actions.
- Keeping the diary up to date, detailing meeting notifications, conference calls etc.
- Arranging, booking and preparing itineraries for travel and accommodation for both business and personal trips.
- Managing the content and set up for management meeting and executive meetings.
- Preparation and analysis of expense claims and credit card receipts to be submitted to the finance department on a regular basis.
- Working with and assisting the President with on-going issues and challenges facing the studio.
- Dealing with some personal work as requested. The amount of personal work can vary but should not be a significant part of the role.
Skills, Knowledge & Experiences:
- Extensive experience in a similar role and working with senior executives.
- Extensive experience in managing the full diary and correspondence of senior executives.
- Demonstrable experience of organising complex travel arrangements and preparing itineraries.
- Ability to work fluidly and flexibly in an agile and energetic environment
- Experience of handling various competing demands and demonstrate the highest level of customer/client service and response.
- Expert level communication skills and able to communicate with senior stakeholders competently and in a professional manner.
- Strong organisational skills with an ability to think proactively and prioritise work.
- High attention to detail.

Job Type: Full-time
Salary: £40,000.00-£50,000.00 per year
