This role will support senior leadership within Craft and our European HQ operations.
SCOPE & PURPOSE OF THE JOB:
The Executive Assistant will work with the EMEA Craft team, along with the other agencies and companies that are part of McCann Worldgroup and IPG. We are looking for someone who is passionate about being part of a cohesive team, has a hawk-eye for detail, and the ability to manage multiple tasks at once. The role is centrally focused on providing support for the team, so candidates should ideally have an interest in creative, production and post production. The role will involve playing a key role in coordinating new initiatives, events, and vendors.
RESPONSIBILITIES
- EA Support – Chief Production Officer & EVP Global Business Director. Admin support with Secretarial pool (T&E).
o Managing calendar and appointments, coordinating with stakeholders across multiple time zones.
o Coordinating international and domestic travel, meeting and event arrangements and bookings. Raising expense reports on a timely basis and tracking progress through to payment.
- Providing support to the wider HQ/Craft EMEA team with booking travel and arranging events, liaising with external vendors where required.
- Managing finances and invoicing relating to project work.
- Ensuring regular meetings are adhered to, e.g. brainstorming sessions and Regional Directors’ calls.
- From time to time, supporting project work by conducting deck research, transcribing interviews, attending brainstorms, supporting event management.
EXPERIENCE GUIDELINES
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be well organized, flexible and enjoy the challenges of supporting a staff of diverse creative people.
The ability to interact effectively and build solid relationships with staff (at all levels) in a fast-paced environment, sometimes under pressure, is essential. Must be flexible, proactive, resourceful, and efficient. A high level of professionalism and confidentiality/discretion is crucial for this role. Excellent written and verbal communication skills, strong decision-making ability and attention to detail are important.
Key Qualifications:
- Previous experience as an Executive Assistant supporting at a senior level, preferably within a complex international organisation. Experience within an Advertising / Marketing Communications / Production / Postproduction agency would be advantageous but not essential.
- Exceptional verbal and written communication skills.
- Demonstrates a proactive ability to anticipate needs and changes, then react efficiently and expeditiously with independent/sound judgement.
