Mathnasium is looking for an experienced and detail-oriented Executive Assistant to join our team. The successful candidate will be responsible for providing administrative support to the Managing Director and Head Office Team, including scheduling meetings, managing emails, preparing reports and presentations, and handling travel arrangements. The ideal candidate should have excellent organisational skills, be able to multitask effectively, and have a strong attention to detail. Working under pressure will be crucial to be successful in the role. This role will be embedded within the senior team and wider business.
Responsibilities:
- Manage Managing Directors calendar and schedule appointments.
- Prepare and edit documents, reports, and presentations.
- Coordinate meetings and conferences.
- Highly organized with the ability to prioritise workload and manage multiple conflicting deadlines with attention to detail and within agreed timelines
- To manage and prioritise all incoming and outgoing correspondence in all forms, initiating suitable responses on behalf of the Managing Director where appropriate.
- To receive and respond to telephone calls, redirecting calls as necessary and appropriate.
- To draw attention to items requiring signature and providing efficient processes.
- To plan for situations that are known; and to be able to re-prioritise work to accommodate unexpected situations and interruptions.
- To support the Managing Director within their remit by developing local systems and routines to support.
- Support with marketing and administration
- Provide personal support to the Managing Director in organisation of their life outside of work
Skills
- Professional experience in the same or very similar role.
- Experience of organising, supporting, and delivering events and projects
- Experience of co-ordinating complex requirements and multiple demands, liaising with a range of internal colleagues and external stakeholders.
- Shows initiative and self-confidence, is adaptable and can cope with changing and evolving priorities
- Ability to identify and implement process improvements
- A self-starter and able to work under own initiative
- Clear and effective interpersonal, verbal and written communication skills at all levels
- Previous experience as an Executive Assistant / Personal Assistant for stakeholders
- Excellent interpersonal, verbal, and written communication skills
- Proven experience in all Microsoft Office packages
- Detail oriented and highly organised
