Executive Assistant

Location - Central London

Salary £60,000 per annum (negotiable)

We are looking for an exceptional Business EA to work in a Hospitality environment. You will be the eyes and ears for the business owner. You will be out daily supporting him on his travels to his Hotels and Restuarants.This is an opportunity for you to be involved with fantastic brand that is still going through a growth period, with lots of exciting things happening on the horizon!

Specifics of the role

  • Minute taking for internal stakeholder meetings including weekly trading meeting and monthly board meeting. Monitoring follow up actions.
  • Inbox management - reading emails in both inboxes and action as appropriate.
  • Diary management.
  • Expenses collation, submission, and approval for reporting line of CEO.
  • Travel coordination including itinerary creation, booking of all flights, trains, hire cars, taxis, hotels, rental properties and transfers, visa applications, downloading and sharing iphone wallet boarding passes, researching, booking and liaising with hotels and rental properties, restaurant research and table bookings.
  • Coordinating meetings, site visits and social events with landlords, agents, project managers and interior designers.
  • Managing property maintenance and repairs; liaising with landlord/tenants/agents, including sourcing quotes for removals and storage, utilities setup and management, mortgage renewals and requests.
  • Ad-hoc office management tasks e.g. office move coordination and furniture purchasing.
  • Gift purchasing.
  • Filing of all personal and business documentation.
  • Ad hoc requests e.g. purchasing ad-hoc items.
  • Booking and organising couriers.
  • Facilitating and coordinating signing of documents, both online and by hand.

  • Acting as the point of contact between the executives and internal or external colleagues.
  • Ensure absolute confidentiality and discretion and maintain a high level of professionalism at all times.
  • Flexible to the tasks you are faced with and have a can-do attitude.
  • Excellent problem-solving skills and react quickly to both internal and external business needs.
  • Confident user of the Microsoft Office suite.
  • Attention to detail.
