Executive Assistant

We have a fantastic opportunity for a positive and proactive Executive Assistant, who will be providing full PA / Executive Secretarial support to VP, Digital Health & Innovation and VP Quality Engineering and Tech Operations at GSK with other duties including ad-hoc support of team members of the leadership team with meeting management or coordination of team-wide events.
This is a challenging and interesting role which interacts internally at all levels of the organization. Duties are varied on a daily basis, with minimal supervision in two dynamic teams Digital Health & Innovation (DHI) and Quality Engineering/Tech Ops. You will be their key interface both internally and externally, using exceptional business knowledge, stakeholder management, administrative abilities and judgement. You will also be general point of contact for the groups.
The smooth and professional running of these teams is vital and is achieved with forward thinking and planning, having efficient systems in place to deal with administrative tasks, and being able to work with your own initiative as well as part of a team.
Key Responsibilities
This role will provide YOU the opportunity to lead key activities to progress YOUR career, these responsibilities include some of the following:
Full diary management and co-ordination of schedules, including external commitments and extensive travel arrangements and Visa’s.
Follow processes and guidelines for Meeting Management, Catering and Travel and Expense.
Proactively organise key internal and external meetings as required
Work closely with the rest of the Tech Executive Assistant team to ensure the smooth and efficient running across R&D Digital & Tech with forward planning where possible
Manage multiple, sometimes conflicting, priorities in a fast-paced and demanding environment without compromising quality of work.
Using discretion to perform duties at short notice and maintain the highest level of confidentiality and handle sensitive matters according to GSK policy.
Be competent in various GSK systems to complete expenses on time, manage invoices, and raise purchase orders in Ariba.
Undertake ad hoc projects as required
To live and bring alive the GSK purpose, strategy and culture.

Experience of operating as a senior secretarial / PA within a large complex organization
Highly experienced in 1:1 working at a senior PA level
Excellent written and oral communication skills

Excellent MS Office and IT skills
Strong interpersonal skills and proven credibility, strong communication, organisation, and administrative skills
Demonstrated initiative and forward planning skills
Strong Team player
