If so, we have an excellent opportunity for you to become an Executive Assistant to our visionary CEO!
We are searching for a highly motivated and talented Executive Assistant to join our exceptional team. You will be the right-hand person to our CEO and therefore play a critical role in the success of the business. This role will be in our Marylebone office 5 days per week, maybe more if needed.
Daily responsibilities
You will be responsible for scheduling and managing appointments, meetings and events, ensuring that the CEO is on time and well-prepared for all commitments.
You will be responsible for taking care of all the travel arrangements, including flights, hotels and other transportation. This includes ensuring any travel documentation needed for the trip is valid e.g. estas and visas.
All internal and external communications will be handled by you on behalf of the CEO. This includes phone calls, emails, and other forms of correspondence. You will be responsible for drafting and proofreading emails, memos, reports, and other documents.
You will be responsible for organising and coordinating all meetings that involve the CEO. This includes booking meeting rooms, organising correct time slots, preparing an agenda and taking minutes.
You will also be responsible for assisting with personal administrative tasks, this will equate to around 30% of the role.
You will also be responsible for general office manager duties such as ordering office supplies, coordinating office equipment maintenance, and managing relationships with vendors and service providers e.g WeWork.
About you
Proven experience as an Executive Assistant to a CEO/Executive in a fast-paced environment
You will be highly organised and possess excellent time-management skills
Able to be given context and independently make decisions on behalf of the CEO
You will have experience dealing with international travel arrangements and documentation
You will be a problem-solver and have the ability to think on your feet
You have a positive, can-do attitude with the ability to cope with last-minute changes and pivots in decisions
Great attention to detail to ensure accuracy in each task
Highly proficient in both written and verbal English
Nice-to-haves
Previous experience using Slack and Notion
Experience previously working with a start-up founder
