We’re looking for an Executive Assistant who will provide a high level of professional organisational and administrative support to the Chief Executive Officer of EMEA & APAC, and to the Chief HR Officer of EMEA & APAC region to ensure their time and priorities are managed effectively. The position will liaise with internal and external stakeholders including Senior Management [and Ministers within the EMEA and APAC regions].
The main responsibilities of the person in this role are:
To provide efficient and value-added operational support
- Work closely and effectively with the CEO and CHRO to keep them well informed of upcoming commitments and responsibilities and ensure they are prepared and informed on relevant matters in a timely manner.
- Management of all incoming/outgoing communication for the CEO by filtering, reverting to others and responding as appropriate to internal and external clients so that correspondence and emails are distilled to those that require a direct response from the senior leader.
- Management of diaries to prioritise and co-ordinate appointments and maximise time efficiency for Executive and members of the Leadership Team, including holiday management across the Leadership team.
- Manage sensitive information, confidential reports and documents ensuring appropriate controls are in place to meet security and confidentiality requirements.
- Organise, interpret and prepare high quality reports and presentations for meetings / business reporting requirements and board reports. Prepare, agree and distribute meeting agendas to attendees in good time. Attend meetings taking minutes and following up on actions ensuring all completed or escalated.
- Maintain a high level of awareness of matters coming in and out of the CEO’s office to effectively respond to enquiries.
- Deliver projects on an ad hoc basis as requested.
General Administration
- Ensure effective administrative support including Room bookings and venue management; Travel Arrangements; Expense management and control of the corporate purchasing card (as apt); Co-ordinate office and desk moves including co-ordination with Facilities; IT equipment and on-boarding for Executive team
- Manage stationary orders to meet requirements liaising with procurement to ensure best supplier agreement and costs.
- Organise filing of executive documents, reports, meeting agendas and minutes in an orderly manner that facilitates timely retrieval and follow up of actions.
- Work collaboratively in a team
- Participates as an additional member of the Executive Leadership Team
- Partner with other PA's and EA's within Experian and externally to ensure effective management and organisation of Board, Customer, Supplier and Senior Leadership Meetings.
- Collaborate within the team to organise team workshops, ‘All Hands’ events making inputs and suggestions to ensure the events are successful.
- Proactively develop and facilitate effective team working and relationships within own team and wider Experian to enable optimal personal and business effectiveness.
Performance Management
- Understand and participate in Elevate Performance; ensuring stretching personal objectives, a personal development plan and regular self and team feedback.
- Comply with the Training and Competency requirements and complete required training in a timely manner.

- Ensure that good client / consumer outcomes are at the centre of all operational activity and decision making.

- Adhere to all regulatory requirements within role responsibility and escalate issues quickly.
- Pro-actively identify risks and make recommendation to mitigate these.
- Understand and adhere to specific regulatory obligations and company policies and procedures
Excellent written and verbal communication skills- Previous experience of working and building credibility with Executive level client groups
- Self-motivated and keen to provide high quality of service
- Ability to deal with confidential and sensitive information
- Excellent Microsoft skills (incl. Outlook, Excel and PPT)
- Strong time management skills and ability to prioritise under pressure – must be able to multi-task efficiently
- High standard of accuracy, quality and attention to detail
- A flexible, pro-active and professional approach to the role
- Uses initiative and works without supervision
