This Executive Assistant position is with one of the world’s largest and most reputable chemical and FMCG manufacturers. Operating on a state-of-the-art site in London, the company is continuing to invest millions of pounds on site into brand new innovative equipment, focused on automation and robotics.
The company manufactures some of the world’s most recognisable brands from their upper-tier COMAH sites. Strong investment into this site has led to the development of a world leading project and asset care team, regularly tasked with multi-million-pound projects. With the addition of an Executive Assistant they are looking at strengthening this team.
Dimensions of the Executive Assistant position;
- Providing full support to the EVP including diary, travel & meeting management across all time zones, travel planning, processing expenses, meeting agenda management, visitor, and event management.
- Through proactive management, prioritize meetings according to business need and urgency. Ensure EVP has the opportunity to prepare and ensure all materials needed for high impact meetings are set and available at the proper times.
- Organizing international and local travel, including preparation of itineraries, visas, etc. together with management of out of office requirements. Inform other participants proactively so visits can be orchestrated properly.
- Organizing meetings & workshops locally & abroad including booking meeting rooms, venue sourcing, defining the programme, arranging evening / team activities and logistics and ensuring technical set-up runs smoothly (Microsoft Teams, ZOOM, etc).
- Set up and manage highly confidential external M&A meetings.
- Managing a global network of internal & external stakeholders, point of reference for local teams & external partners.
- Maintaining email distribution lists and internal and external contacts databases.
- Raising, tracking, and closing of Purchase Orders when needed, liaising with procurement & suppliers to ensure prompt payment.
- Manager all EVP business contacts and file the information in a consolidated and convenient manner
- Coordinate and Plan yearly calendar in consideration of geographical time difference and various priorities across all brands, and in charge of central meeting invitations.
- Support CEO on any necessary personal matters
- Liaise and respond to CEO/Board for any business-related request, including meetings and supporting material preparation
To be successful in this position as the Executive Assistant, candidates will have previous industry experience and must have a relative diploma and must have experience working in a regional or global organization across time zones.
The Executive Assistant candidates must have experience in Microsoft applications including Outlook, Word, Excel, and PowerPoint and in Coupa for budget management and ability to quickly acquire new IT skills to utilize key company software and systems. The Executive Assistant must also be able to work effectively from home as well as within an office environment as this is a hybrid role.
