Executive Assistant to Chief Operating Officer
An exciting opportunity has arisen, an Executive Assistants to provide support to the Chief Operating Officer. An exciting opportunity has arisen for an experienced, self-motivated Executive Assistant. The Chief Executive’s Office is a busy, fast-paced environment where you will come into contact with staff throughout the Trust and external organisations, The successful candidate will be required to provide a proactive, effective, and well-managed support service, working on their own initiative to deliver the requirements of the role. You will need to demonstrate excellent and effective communication skills, fostering good working relationships along with providing high quality Executive Assistant support. The postholder will need to be flexible and adaptable in their approach, responding to changing and competing needs, work independently and as part of a team. The responsibilities will include diary management, planning and organising meetings, taking minutes. A full list of job responsibilities can be found in the job description. The Team comprises of four Executive Assistants, an Administration Assistant, and Corporate Business Manager and we are looking for applicants who will complement the team.
The Executive Assistant will play a key role in supporting the Executive Directors by providing a proactive, effective, and well-managed support service. The post holders will therefore need to be flexible and adaptable in their approach, responding to changing and competing needs
The Executive Assistant is expected to demonstrate initiative in order to fulfil the requirements of the post. Excellent interpersonal skills and communication skills are essential plus an ability to deal with and manage confidential information.
To work autonomously and flexibly under the general direction of the Executive Director and be responsible for implementing administration processes to support key business functions for the directorate using initiative and judgement with a minimum of supervision.
The post holders will be required to undertake a range of administrative support to the wider members of the team within the Executive Director’s portfolio.
Project management support for identified programmes of work the Executive Directors are leading and/or involved in across the organisation and wider health and care system
Horizon scanning and targeting information sharing in terms of national updates, forums, conferences and seminars that would be of benefit to the Executive Directors and members of their portfolio.
To work closely with staff, managers and others at all levels to create and maintain effective working relationships, internal and external to the Trust.
