- Executive Assistant to the Global Head of Tax
- Executive Assistant to the Global Tax COO
- Executive Assistant support to the EMEA Head of Tax and Global Head of Tax Transfer Pricing
- Admin assistance to team of Tax Managers in EMEA tax (based in UK, Pune, Russia and Poland)
First point of contact for all Global Administrative work including:
- Organisational changes (use of CS internal OE system for updating intranet organisation charts)
- gift and entertainment policy adherence
- required leave monitoring
- mandatory training monitoring
- IT access control management
- oversee Global Tax compliance with Gift and Entertainment reporting
- setting up, designing and maintaining Sharepoint sites for efficient sharing of global docu-mentation
- organising Town Hall logistics from start to finish
- organising ad hoc global meetings
- Global Authorisation Database manager for Global tax
- efficiently the review and reporting of global items. EA support to Global Tax COO incorpo-rating responsibility for Global Administration to co-ordinate
- Diary management and meeting co-ordination with internals and externals involving many senior diaries across Americas, APAC and EMEA – including Executive Board level for the Global Head of Tax.
- Co-ordinating complex, larger workshop events involving external advisers. Main point of contact for all global meetings.
- Coordination and scheduling of video / audio calls / meeting rooms / catering / dinner venues.
- Travel arrangements for Global Head of Tax, Global Tax COO, EMEA Head of Tax and Head of Global Tax Transfer pricing (flights / hotels / ground transportation / currency / visas / meeting schedules where required)
- Arrange reimbursement of expenses for above, including payment of Amex bill for Global Head of Tax
- Logistical arrangements for team on-sites (regional and global).
- Assistance where required with preparation/amendment of PowerPoint presentations, project plans and Word documents.

Office management for London Tax department including:
- Diary management and ad-hoc secretarial support where required
- Review Service Orders and liaise with suppliers to ensure all engagements fall within policy guidelines, manage the process through the CS approvals system in MyShop and SAFE
- Ensure timely payment of invoices – point of contact and follow up on all invoicing enquiries
- Liaise with HMRC in the UK to obtain residency certificates and tax forms and supply where requested to other departments/external clients.
- On-board new joiners
- Liaison between HR/IT/CRES for all department matters
- Monitoring space, facilities, hardware, liaising with administrative / operations departments to address equipment needs
- Co-ordinate office moves and furniture requirements as needed
- Scanning, photocopying, arranging couriers, electronic and paper filing, running administrative errands
- Manage subscriptions for the EMEA Tax department
- Maintaining BCP policy and procedure and contact log
- Manage secure access to London department and review audit reports to ensure appropriate security access
- Preparation of letters, reports, ad hoc correspondence
- Ad hoc projects
- Support to overseas visitors.
