The Executive Assistant works closely and proactively with their assigned team providing day-to-day administrative support, including coordinating all meetings, travel arrangements and expenses.
Role-specific Accountabilities:
- Provide general administrative support to a team of investment professionals which may comprise Analysts, Associates, Senior Associates, Portfolio Managers and/or Managing Directors.
- Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.
- Manage multiple calendars on behalf of executives, working with other departments to coordinate meeting booking.
- Co-ordinate, arrange and oversee team event planning process, as required.
- Responsible for coordinating meetings, including conference room management and catering services for the team.
- Ensures team members are prepared for all meetings with material they require and other general support.
- Manages the calendar, reporting, appointments, presentations, action items and other administrative needs of the team and coordinates with advisors, investee companies and third parties to set up meetings.
- Reconcile expenses receipts, credit card statements and expense reporting.
- Handles highly sensitive and confidential matters relating to the daily activity of the department and/or organization.
- Manages administrative matters including vendor invoice management, execution of contracts with vendors and maintaining records thereof.
- Works cross functionally with other regional teams and departments to ensure we remain aligned with our vision, goals, and values.
- Accommodates and completes staff requests within the deadlines or on a timely basis.
- Other duties and projects as assigned.
- Be a CPP Investments’ ambassador by playing a key role in representing the investment business internally and externally. Conduct work in professional, friendly, easily accessible, and approachable manner.
- College diploma or undergraduate degree is required.
- Commensurate experience gained from a fast-paced, financial services or professional services environment.
- Experience providing support to senior and multiple professionals and managing competing priorities.
- Experience with complex calendar management, booking high profile meetings, events, scheduling travel and managing expense reimbursement process.
- Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications.
- Extremely motivated, eager to learn, adaptable, calm under pressure and professional.
- Able and willing to work flexible hours, as required.
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
- Exceptional (written and verbal) communication skills and interpersonal skills.
- Ability to work in a high performing culture, under pressure and with time-sensitive deadlines.
- Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism.
- Proven ability to work independently as well as to perform effectively in a team-oriented and open-concept environment.
- Interest in the investment industry is considered an asset.
