About This Role
The Executive Assistant (“EA”) reports to the Chief Organizational Effectiveness Officer and represents the Office of the President and CEO. The EA maintains systems and operations for the President’s office. The EA executes and supports projects and coordinates external relations efforts. The EA also serves as an Assistant Secretary to ChildFund’s Board of Directors and a liaison to the senior management team.

Primary Responsibilities
- Provide administrative support to the President and CEO (“the President”), including calendar management, expense reports, correspondence, travel, meeting agendas, and meeting preparation.
- Serve as the gatekeeper and manager for the President’s schedule.
- Serve as a communication liaison between the President’s office and internal departments.
- Draft correspondence, presentations, and other materials.
- Assist in planning and managing meetings of the Board of Directors, including providing logistical support to Board members (travel, meals).
- Engage with Board members to serve as a liaison between Board members and the President, and build relationships with Board members while maintaining discretion and confidentiality.
- Serve as a resource regarding Board bylaws, and work with other departments and staff, including Chief Legal Counsel, to maintain ChildFund’s OnBoard platform.
- Adhere to compliance with Board bylaws in Board and committee matters, including advance distribution of materials before meetings.
- Provide support for screening, selection, and interviewing of new Board members.
- Lead the onboarding and orientation of new Board members, and work with senior executives to maintain and update orientation material for new Board members.
- Work with internal departments to maintain online and other materials related to the President’s office.
- Coordinate internally to finalize and disseminate internal and external communications from the President’s office.
- Collaborate internally to support larger projects and other internal meetings.
- Follow up on contacts made by the President and support the cultivation of ongoing relationships.
- Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy.
Required Competencies

Required Experience and Education
- Bachelor’s degree or equivalent combination of education and experience.
- At least 4 years of experience supporting executives or in an external-facing role in a non-profit or private industry setting.
- Experience running and managing virtual and in-person meetings.
- Advanced proficiency with MS Teams is beneficial.
- Previous experience supporting executive board meetings is preferred.
Job Type: Full-time
Pay: $55,000.00 - $67,000.00 per year
