Executive Assistant to the CEO at Brainlabs UK is responsible for providing administrative and personal support to the CEO. This includes managing their schedule, inbox, making travel arrangements, handling correspondence, and managing projects. Acting as a liaison between the CEO and other members of the organisation whilst maintaining confidential information. You will also provide PA level support to other members of the senior leadership team.
Position description
This job requires a highly organised, discreet, and proactive individual who is able to work independently and handle a wide range of tasks. The executive assistant must be able to multitask, prioritise and manage their own time effectively and ensure that the CEO's schedule runs smoothly. Additionally, they must be able to handle confidential information, anticipate the needs of the CEO and take initiative in resolving problems. Being forward thinking and adaptive to change are essential qualities in this role.
The main job responsibilities
- Managing the CEO's schedule and calendar, including scheduling meetings, appointments, and travel arrangements.
- Acting as a liaison between the CEO and other members of the company, as well as external contacts.
- Managing projects with multiple stakeholders and delegating tasks as necessary.
- Maintaining confidential information and handling sensitive material with discretion.
- Preparing and editing presentations, reports, and other documents.
- Organising and coordinating events, such as company meetings and client events.
- Providing general administrative support, such as scheduling travel and making reservations.
- Researching and providing information as requested by the CEO.
- Providing excellent customer service to both internal and external clients.
Essential skills
- Strong organisational skills: The ability to manage multiple tasks and prioritise effectively is essential.
- Excellent communication skills: The executive assistant must be able to communicate effectively with the CEO, other members of the UK leadership team, global leadership, the wider company and external contacts.
- Attention to detail: The ability to accurately complete tasks and catch errors is important.
- Time management: The executive assistant must be able to manage their own time effectively and ensure that the CEO's schedule runs smoothly.
- Technical skills: Executive Assistant must be proficient in the use of computer software such as the G-suite applications (email, calendar etc), google sheets and slides.
- Discretion and confidentiality: The executive assistant must be able to handle sensitive and confidential information with discretion.
- Adaptability: The ability to adapt to changes and new situations is essential.
- Initiative: The executive assistant must be able to anticipate the needs of the CEO and take initiative in resolving problems.
- Leadership: The executive assistant must be able to lead projects and delegate tasks as necessary
- Management and coaching of the team assistant/PA
Desirable skills
- Strong writing and editing skills
- Experience in project management
- Strong problem-solving abilities
- Presentation software and graphic design
- Knowledge of the CEO's industry and company operations
- Experience working with and managing remote teams
- Experience working with executives
- Strong interpersonal skills and ability to build relationships
- Proven ability to handle multiple tasks and meet deadlines in a fast-paced environment.
