EXECUTIVE ASSISTANT
Andrew Henry Interiors are a leading Interior Design Company who specialise in the Design and Installation of Show homes to housebuilders across the UK.
An exciting opportunity has arisen for a highly accomplished and experienced Executive Assistant/PA to join our friendly team.
The role involves providing PA support to the Director and senior administrative support to the management team including sales, finance, operations and logistics.
You will have a friendly, flexible and efficient ‘can do’ attitude and be a strong team player with a proven track record of at least 3 years in a similar role. You must be able to work autonomously as well as part of a larger team. Superb organisation skills are a must as is the ability to manage and successfully prioritise multiple tasks and deadlines.
Main Duties include (but not limited to):
Setting up new project files and and all other associated files including the updating of the sales forecast
Preparation of all outgoing quotes relating to interior design projects
Arrange, minute and disseminate monthly management meetings
Liaise with both clients and suppliers as needed via telephone, email and in person
Support the management team with ad hoc projects and analysis
Organise travel arrangements primarily in the UK and overseas
Organise internal team days and corporate hospitality
Compose correspondence, letters and emails as required
Maintain and renew company professional indemnity and insurances
Coordinate and maintain sufficient staff numbers for first aiders, fire marshalls etc
Maintain internal records to ensure HBV compliance (industry specific)
Maintain and update company health and safety compliances and legislation in conjunction with external HR company
Maintain company IT requirements in conjunction with our IT support contractor
Must have good knowledge of Microsoft Word, Excel and Google Sheets
Responsible for ordering and coordinating of office stationery/kitchen supplies
Record company sickness
What we Offer:
Hours of work to be between 30 – 37.5 hours per week, to be worked over a minimum of 4 days (or 5-days, if full-time). Core working hours, 0900 – 1630.
Office based (with ability to work 1-day a week at home following completion of probationary period).
Salary circa £32,000 - £35,000 per annum (full time, 37.5 hours or pro rata if part time)
